We are seeking a detail-oriented and organized Billing & Invoicing Coordinator to join our interior design team. This role is responsible for managing all aspects of client billing, including preparing and sending monthly service invoices, creating product invoices for ongoing projects, and ensuring timely and accurate invoicing to support the financial health of the business. The ideal candidate will also lead the implementation of a new hourly tracking system to ensure accurate employee timekeeping and monthly billing.
Key Responsibilities:
- Prepare and issue monthly service invoices to clients for ongoing interior design work.
- Create detailed product invoices as needed for individual client projects, including ff&e, materials, and custom orders.
- Collaborate with design team members to gather necessary billing information and ensure accuracy.
- Implement and manage a new hourly tracking system for employee time to support accurate monthly billing.
- Maintain organized records of all invoices, payments, and client billing communications.
- Track project expenses and reconcile invoices against purchase orders and receipts.
- Follow up on outstanding payments and coordinate with clients regarding billing questions or issues.
- Work with owner to ensure proper documentation and financial reporting.
- Assist with project budget tracking and forecasting when necessary.
Qualifications:
- Prior experience in billing, invoicing, or administrative finance roles—experience in the interior design industry is a plus.
- Strong organizational and time-management skills with attention to detail.
- Experience implementing or managing time-tracking systems for teams.
- Excellent written and verbal communication skills.
- Ability to work independently and handle multiple tasks simultaneously.
Preferred Skills:
- Familiarity with interior design workflows and project management.
- Understanding of sales tax application on goods and services in design.
- Client service experience and professionalism in communication.
Job Type: Contract
Pay: $30.00 per hour
Expected hours: 4 – 12 per week
