General Responsibilities
The Registration and Transcript Evaluation Specialist is an integral member of the Records and Registration Department. This position is responsible for processing credit and non-credit registrations and for evaluating transfer credits based on the based on the Code of Maryland Regulations (COMAR), Maryland Higher Education Commission’s guidelines (MHEC), the Transfer with Success Act (MHEC), and College policies and procedures in alignment with curriculum. This position includes responsibility for ensuring compliance with institutional policies and procedures related to student enrollment. Further, the Registration and Transcript Evaluation Specialist is required to handle student records in a manner that is consistent with federal and state compliance standards. The Registration and Transcript Evaluation Specialist provides daily mentoring of part-time staff and student workers. The Registration and Transcript Evaluation Specialist is often the first point of contact for students and guests who enter the College, and therefore, must uphold the highest standards for customer service.
Specific Duties

Salary: This is a non-exempt position (overtime eligible); Grade 112 (pay scale:$48,000-76,000). Based on the budget, the salary for the position will between $48,000-$51,000. Applicants' initial salary placement is based on internal equity and relevant candidate experience

Specific Duties
- Provides support for the Office of Records and Registration including:
- greet the public, provide course and college information, and make appropriate referrals
- respond to telephone, email, and chat inquiries
- respond to student complaints and refer to the appropriate individual
- Creates and maintains permanent student records for credit and continuing education students based on the Records Retention Schedule and ensures that student files are consistent with state and federal regulatory requirements.
- Maintains standards related to privacy of student records in accordance with FERPA regulations.
- Processes in-person and electronic registrations for credit and non-credit courses.
- Handles official documentation that adheres to institutional, state, and federal compliance.
- Assists with the training and onboarding process of new part-time Registration Technicians.
- Provides mentoring for the part-time Registration Technicians and student workers.
- Performs daily review of registration forms for missing data and accuracy of data previously entered in the student information system.
- Extracts and develops reports of select information from the student information system.
- Assembles materials and compiles supporting documentation for the Registrar and Assistant Director in preparation of various departmental and divisional reports.
- Reviews, researches, and analyzes courses to determine course equivalencies in collaboration with internal and external constituencies.
- Completes transcript evaluations and re-evaluations in compliance with institutional policies and procedures and as approved by the Registrar.
- Determines course equivalencies in conjunction with analyzing courses satisfying graduation requirements.
- Maintains and updates all aspects of the Transcript Evaluation System (TES).
- Responds to emails and phone calls regarding transcript evaluations and inquiries.
- Serves as a contact person and resource for matters related to transcript evaluations.
- Serves on college committees and search processes as appropriate.
- Other duties as assigned.
- Education: Bachelor’s Degree in a related field.
- Experience: Two years of experience in a clerical function preferably in a college setting. Experience working with the public in a customer service context. Experience working with a student information system.
- Skills: High level of accuracy and attention to detail. Exceptional analytic and critical thinking skills. Ability to analyze and apply complex information. Strong organizational and communication skills. Working knowledge of Microsoft Office Suite (Word, Excel, Power Point, Outlook). Ability to multitask in an environment with frequent interruptions.
- Proficiencies: Evidence of strong verbal and written communication skills. Documented administrative experience. Working knowledge of Microsoft Office Suite and selected spreadsheet software. Evidence of proficiencies whereby attention to detail is required.
- Scheduling Requirements: Varied work schedule during critical periods, sometimes requiring evening, Saturday, and Sunday work hours, dependent on the needs of special events. Due to the need of interaction with students, employees, and the college community, this position requires in-person presence. This position is eligible for telework.
- Physical Demands: This position classifies the physical exertion requirements as sedentary work involving lifting no more than 10 pounds at a time and occasionally lifting or carrying articles like docket files, ledgers, and small tools. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties. Jobs are sedentary if walking and standing are required occasionally, and other sedentary criteria are met.
- Work Environment: Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as office or meeting and training rooms, e.g., use of safe work place practices with office equipment, avoidance of trips and falls, and observance of fire and building safety regulations, and traffic signals when driving.
