Located in the heart of Washington Court House, Cedarvale Commons Rehabilitation and Healthcare Center is a leading skilled nursing facility that provides compassionate, high-quality care to our residents. We are committed to delivering exceptional service to both residents and their families, and we are currently seeking a Business Office Manager to oversee the day-to-day operations of our business office and ensure efficient management of administrative, financial, and billing functions.

Position Overview:
As the Business Office Manager at Cedarvale Commons Rehabilitation and Healthcare Center, you will be responsible for overseeing all aspects of the facility’s administrative and financial operations, including billing, accounts receivable, and managing the Medicaid pending process. You will manage office staff and work closely with department heads to ensure smooth operations and support the overall success of the facility.

Key Responsibilities:

  • Oversee the daily operations of the business office, including billing, accounts payable, and accounts receivable functions.
  • Ensure accurate and timely submission of billing and claims to insurance companies, Medicare, Medicaid, and other payers.
  • Manage the Medicaid pending process, ensuring that all required documentation is collected, submitted, and followed up on in a timely manner.
  • Coordinate with the clinical and administrative teams to ensure that all resident billing information is accurate and up-to-date.
  • Manage the accounts receivable process, including collections, follow-up on unpaid claims, and resolving billing issues.
  • Develop and maintain financial reports, including revenue and expense tracking, and provide updates to management as needed.
  • Supervise and train office staff, ensuring that all administrative tasks are completed efficiently and accurately.
  • Provide support to residents and families in addressing billing and financial inquiries.
  • Assist with audits and financial reporting as required by regulatory agencies and internal policies.
  • Ensure compliance with federal and state regulations regarding billing, collections, and financial documentation.
  • Ensure that the office operates in a manner consistent with facility policies and customer service standards.

Qualifications:

  • Associate’s or Bachelor’s degree in Business Administration, Healthcare Administration, or a related field is preferred.
  • Previous experience in a business office management role, preferably in a healthcare or long-term care setting, is required.
  • Strong understanding of healthcare billing and insurance processes, including Medicare, Medicaid, and private insurance.
  • Experience managing the Medicaid pending process is highly desirable.
  • Proficiency in office management software, accounting systems, and Microsoft Office Suite.
  • Excellent organizational and time-management skills, with the ability to handle multiple tasks and meet deadlines.
  • Strong leadership and supervisory skills with the ability to manage and motivate staff.
  • Knowledge of healthcare regulations, compliance standards, and financial documentation requirements.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with staff, residents, and families.
  • Detail-oriented with a high level of accuracy in managing financial information.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
