Office Manager/ Executive Assistant
CEFO Advisors is looking for a highly skilled Office Manager to serve directly under the CEO in our Saratoga, NY location.
Position Overview:
The Office Manager's role includes managing the day to day functioning of the CEFO offices and ensuring our staff are properly supported. This position will also support the CEO with administrative duties.

Here's the Role:
Administrative & Operations Responsibilities
- Coordinates staff and third-party meetings.
- Serves as the gatekeeper and helps manage the CEO's calendar
- Manages equipment inventory. (Computers etc.)
- Coordinates with our IT support provider, HR service provider, Marketing firm, and other outside vendors.
- Manage office operations and facility.
- Client onboarding admin and paperwork.
- Coordinates office guest visits.
- Orders supplies, corporate gifts, office equipment, etc.
- Handles event scheduling and planning.
- Handles daily mail and banking.
- Creates agendas for all internal meetings and sends recap to the team.
- Assist CEO with projects and tasks as requested.
HR and Recruiting Duties
- Placement and management of all employment ads across multiple platforms.
- Performs initial pre-screen interviews of all candidates before presenting to leadership.
- Manages and conducts new employee onboarding processes.
- Works with department heads to coordinate performance reviews.
- Manage Time Off Calendar.
- Facilitates Annual Benefits Open Enrollment.
- Assists staff with workers' compensation, PFL, and DBL claims.
- Ensures Employee Handbook is up to date.
- Attends networking events as needed.
Who you are:
- You have 2 years of Office Manager or Executive Assistant experience.
- You value serving the leadership team and setting them up for success.
- You are extremely proficient with technology and love finding platforms that help us run a better company.
- You don't need your hand held and are capable of taking initiative and finishing projects independently.
- Handling projects from start to completion is what you were born to do.
- You intuitively know what needs to get done and how to get it done.
- Your prioritization and organizational skills are the stuff of legend.
- You obsess over details.
- Demonstrated proficiency in the use of Microsoft-based applications (i.e. Outlook, Excel, and Word).
- You have extraordinary written and verbal skills.
- You value working closely with a team but also thrive independently.
- Drama does not follow you wherever you go.
- Experience with new system implementation is a plus.
- Confidentiality and promptness are of utmost importance.
Compensation and Benefits-
- $60k-$65k year
