Overview:
We are seeking a highly organized and proactive Administrative Assistant to support our Enterprise Data Strategy team within the business operations of a utilities client. This role will provide a full range of administrative and organizational support to the Director, 4 managers, and their team of 26 members. The ideal candidate will have strong communication, organizational, and scheduling skills and be comfortable handling purchasing and contracting processes.
Job at a Glance:
- Location: Hybrid 2-3 days in Office in Portland, OR
- Pay: $20-25/hr
- Type: 6 month W2 Contract
Key Responsibilities:
- Administrative Support:
- Prepare emails, correspondence, reports, presentations, agendas, meeting minutes, and other documents.
- Coordinate and schedule meetings, maintain calendars, and manage team logistics.
- Purchasing and Contracting Support:
- Handle vendor requisitions, monthly invoicing, and statement of work processes.
- Purchase a variety of supplies, services, and equipment as needed.
- Gain and maintain knowledge of Coupa purchasing processes.
- Team Support:
- Organize and plan team events, travel, and activities.
- Coordinate speakers, food, snacks, and other event logistics.
Required Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint).
- Strong written and oral communication skills.
- General administrative experience, including planning and organizational tasks.
Nice-to-Have Skills:
- Finance experience or background, especially related to vendor requisitions and invoicing, is a significant plus.
- Ability to create professional PowerPoint presentations.
- Strong decision-making and problem-solving skills.
- Understanding of business process interrelationships.
Qualifications:
- High school diploma or equivalent (experience can substitute for formal education).
- At least 2 years of relevant administrative experience.
What to Expect:
A typical day includes preparing correspondence, managing schedules, assisting with purchasing and invoicing, and supporting the team’s event planning and operational needs. You will interact closely with 4 leaders and 3 project leads while contributing to the team’s overall efficiency and success.
