POSITION DESCRIPTION: Office Manager
Status: 40 Hours per Week, Non-Exempt
Reports To: Lead Pastor
General Function: The Office Manager is responsible for providing comprehensive administrative support to the pastors and church staff, ensuring the smooth and efficient operation of the church office. This role serves as the central point of contact for administrative functions and plays a key part in fostering effective communication and coordination across the congregation.
Qualifications and Experience:
- Excellent organizational and time management skills
- Strong communication and interpersonal skills, demonstrating respect, collaboration, and a positive attitude
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with Content Management Systems (Realm preferred) and Canva (a plus)
- Detail-oriented with a high level of accuracy
- Ability to prioritize tasks and meet deadlines
- Strong problem-solving and decision-making abilities
- Maintain confidentiality and professionalism
- High school diploma or equivalent, with a minimum of 2 years of office experience
Key Responsibilities:
Administrative Support:
- Serve as the primary administrative assistant for the Lead and Congregational Life Pastor
- Answer phone calls, direct inquiries, and greet guests
- Maintain a clean and orderly office, Welcome Center, and workroom
- Ensure front desk coverage during business hours
- Prepare materials for weekly staff meetings
- Handle incoming and outgoing mail, including mass mailings
Communication & Content Management:
- Create, prepare, and schedule communication for church advertisements and social media content
- Manage website content updates and social media platforms
- Create and update weekly announcement pages
- Assist in correspondence with staff, small groups, and congregation members
Event & Project Coordination:
- Coordinate registrations and follow-through for Baptisms and Weddings
- Organize and manage the visitor-to-membership process
- Assist with the creation, preparation, and follow-through of stewardship campaigns
- Serve as coordinator for monthly Church Council meetings, Semi-Annual Congregational meetings, and Synod reports
Office Management:
- Maintain an inventory of office and church supplies, replenishing as needed
- Ensure organized and accessible document management
- Provide logistical support for meetings and events
Database & Calendar Management:
- Manage the church database system; Realm, tracking attendance and giving
- Ensure the church calendar is updated and effectively communicated
