Temporary Parts Specialist

Location: Madison, WI

Hours: Monday - Friday, 8:00 AM - 4:30 PM

Pay Rate: $21 - $22 per hour (based on experience)

Duration: Approximately 7 months

Position Summary:

Our client, a leader in climate control equipment, water heaters, and flood restoration tools, is experiencing tremendous product growth and is looking to expand their Parts Team.

This is a temporary role designed to support both internal and external customers with parts identification, order placement, and providing essential support for warranty and repair orders in the heating and air conditioning sector.

We are looking for a motivated and organized team player with excellent communication and interpersonal skills to join the team.

Responsibilities:

• Provide exceptional customer service by offering prompt, friendly, and courteous assistance to both customers and field technicians via phone and email.
• Process parts orders with accuracy and attention to detail.
• Offer support on parts order inquiries, including lead times, order tracking, returns, and quotes (including shipping estimates).
• Collaborate with other departments, including Technical Support, Shipping, and Sourcing.
• Assist the Parts Service Manager with purchase order (PO) entry and data gathering.
• Support the Warranty and Repair Managers with order entry, return material authorizations (RMAs), shipment corrections, and payment processing.
• Track repair data, create price estimates, and generate invoices.
• Identify and implement process improvements to enhance workflow efficiency.

Qualifications:

• High school diploma or equivalent (GED) required.
• Minimum of 2 years’ experience in a customer service role.
• Knowledge of heating and air conditioning systems in automotive, appliance, or HVAC fields preferred.
• Strong mechanical aptitude and keen attention to detail.
