Office Coordinator II
Duties:
- Manage calendars and schedule appointments for staff members
- Oversee the daily operations of the office, ensuring smooth workflow and efficient processes
- Coordinate and manage medical office functions, including communication with patients, family members, doctor's office
- Communicate with field staff on a daily basis (M-F)
- Answer phone calls from doctor's offices, hospitals, insurance companies
- Maintain and manage office supplies and inventory; manage staff
- Assist with team management, including coordinating meetings and events
- File and organize documents, ensuring proper record-keeping
- Ensure phone systems are properly functioning and troubleshoot any issues
- Assist with training and development of new office staff
Experience:
- Previous experience in calendar management and scheduling is preferred
- Knowledge of medical office management is a plus, maintain confidentiality is a must
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent phone etiquette and communication skills
- Proficient in using office software such as Microsoft Office Suite
- Experience in team management or leadership roles is beneficial
- Ability to adapt to changing environments and handle stressful situations calmly
