Job Description
CEM Machine, Inc., a leading manufacturer of industrial stationary wood processing equipment, is excited to announce an opening for a dedicated and professional Receptionist. This full-time position plays a crucial role in maintaining the smooth operations of our front office. As the face of the company, the selected candidate will uphold our values and contribute to the effective communication across all levels of the organization. This is not a remote job, and the receptionist will be required to work onsite at our headquarters, integrating fully with the dynamic team that drives our success.
The Receptionist will be the first point of contact for anyone visiting or calling CEM Machine, Inc., ensuring that all guests are greeted warmly and directed appropriately. The role demands a high level of organization and the ability to manage multiple tasks efficiently.
Duties and Responsibilities
- Answer and direct incoming phone calls to appropriate personnel.
- Take and relay messages accurately and promptly.
- Communicate information throughout the Company as directed.
- Assisting in creating purchase orders and communicating with vendors on the status of orders.
- Create and maintain spreadsheets for service trips.
- Invoice orders once they have shipped and bill customers accordingly.
- Greet and assist visitors, ensuring a positive and professional experience.
- Manage incoming and outgoing mail and packages.
- Assist with scheduling and coordinating meetings and appointments.
- Provide general administrative support to various departments as needed.
Requirements
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Proficiency in ERP type software preferred.
- Familiarity with purchasing processes and invoicing is preferred.
- Excellent organizational skills and attention to detail.
- Ability to multitask effectively.
- Strong communication skills, both verbal and written.
- A friendly and professional demeanor.
- High school diploma or equivalent; further training or certification in office administration is a plus.
- Prior experience in a similar role is highly advantageous.
