The Association Banking Portfolio Administrator manages the financial portfolios of associations, such as homeowner associations or condominium associations. This position is responsible for overseeing financial transactions, monitoring cash flow, preparing financial reports, and ensuring compliance with banking regulations. The Association Banking Portfolio Administrator works closely with association boards and financial institutions to maintain financial stability and transparency.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Underwrite and present community association loans for approval.
2. Manage an Association Banking loan portfolio, including lines of credit and term loans which are collateralized by assignment of assessment rights or cash security.
3. Responsible for annual reviews, renewal, and increase requests.
4. Ensure timely payment of loans in the portfolio.
5. Negotiate terms and conditions with existing borrowers.
6. Close loan renewals/increases in accordance with approved terms and conditions.
7. Responsible for obtaining applications, forms, and documentation necessary to close and maintain Association Banking loans.
8. Request and review required due diligence, credit analysis, and cash flows for Association Banking loans.
9. Request and obtain necessary documentation via Vendor Order for Association Banking loans.
10. Organize and fund Association Banking loan closings with borrowers, in accordance with bank practices.
11. Create and verify required Association Banking loan documentation needed for closing.
12. Prepares and approves Association Banking loans to be submitted for booking and imaging.
13. Monitor and clear exceptions in the portfolio.
14. Submit adverse action requests for processing on Association Banking denials, withdrawn loans, and counter offers.
15. The ability to work in a constant state of alertness and in a safe manner.
16. Completes required BSA/AML training and other compliance training as assigned.
17. Perform any other related duties as required or assigned.
RESPONSIBILITIES FOR WORK OF OTHERS
Supervises a small group (1-3) of employees in the same or lower classification. Assigns and checks work; assists and instructs as required, but performs same work as those supervised, or closely related work, most of the time. Content of the work supervised is of a non-technical nature and does not vary in complexity to any great degree.
QUALIFICATIONS

EDUCATION
Broad knowledge of such fields as accounting, marketing, business administration, finance, etc. Equivalent to a four year college degree.
GENERAL EXPERIENCE
5 years related experience and/or training.
MANAGEMENT EXPERIENCE
7 - 11 months related management experience.
COMMUNICATION SKILLS
Ability to write reports, business correspondence, and policy/procedure manuals; Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts such as fractions, ratios, and proportions to practical situations.
CRITICAL THINKING SKILLS
Ability to solve practical problems and deal with a variety of known variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, or diagram formats.
