POSITION: Receptionist/Information Specialist
LOCATION: District Office – Superintendent’s Office
HOURS: 8 Hours Per Day (7:30am – 4:30pm)
DAYS: 260 Days Per Year; July – June (will be prorated based on start date)
SALARY: $22.04 - $30.51 Per Hour (Range F)

JOB PURPOSE STATEMENT(S): The position of Receptionist/Information Specialist provides highly responsible, specialized and complex secretarial, clerical and office coordination duties in an administrative setting. This position requires responsibility and initiative in performing routine administrative support duties.
ESSENTIAL JOB FUNCTIONS:
· Provides secretarial support to assigned program or department; maintains complex and technical records for a significant function within the assigned program or department; serves as a recording secretary for committees.
· Interprets and explains program or department policies, rules and regulations in response to inquiries; refers inquiries as appropriate.
· Initiates most work tasks at own discretion with considerable latitude in interpreting and applying policies, rules, and regulations.
· Initiates and maintains a variety of comprehensive files and records; maintains manuals and updates resource materials.
· Composes routine correspondence.
· Performs receptionist work for a large office; receives phone calls, screen calls as to appropriate person/office for routing; receives and directs office visitors; responds to general inquiries for information and assistance.
· Responds to inquiries of staff, the public, parents, and/or students for the purpose of providing information and/or direction as may be required.
· Types a variety of written material including letters, tests, reports, statistical data and charts from rough draft, digital recording or verbal instructions; types, proofreads and processes documents; types a high volume of material.
· Prepares written materials (e.g. brochures, newsletters, graphics, etc.) for the purpose of conveying information regarding school and/or district activities and procedures.
· Performs accounting and bookkeeping tasks; analyzes budget accounts for budget projecting; tracks expenditures and compiles expenditure reports; prepares billings.
· Processes high volume of purchase orders; creates invoices.
· Makes travel arrangements, maintains appointment schedules and calendars, and arranges meetings and conferences.
· Supports administrative personnel for the purpose of providing assistance with their administrative functions.
· Receives and distributes mail.
OTHER JOB FUNCTIONS:
· Greets the public in a warm and friendly manner.
· Compiles information and data for statistical and financial reports; provides information to supervisor as requested.
· Compiles and assembles various special reports, forms and summaries.
· Coordinates and compiles information related to major purchasing programs; process purchase orders; maintains budgetary records.
· Performs other duties as assigned.
REQUIREMENTS – QUALIFICATIONS:
· Experience Required: Five (5) years of progressively responsible secretarial and administrative support experience in a complex office setting. Training equivalent to the completion of the twelfth grade. Any combination of experience and training that would provide the required knowledge and abilities.
· Skills, Knowledge and/or Abilities Required:
Skills to operate modern office equipment including use of computer hardware and software and a computer terminal to enter, revise, and retrieve information, and to use word processing and spreadsheet applications. Learn and understand the organization and operation of other departments and of outside agencies as necessary to assume assigned responsibilities. Use English in both written and verbal form; use correct spelling, grammar and punctuation. Communicate clearly and concisely, both orally and in writing with a variety of people, answering questions, gathering, and exchanging information. Analyze complex and sensitive situations carefully and adopt effective courses of action.
Knowledge of work organization and research techniques sufficient to collect, analyze and interpret data; principles and practices of business letter and report writing; and basic record keeping principles and procedures.
Abilities to quickly acquire a working knowledge of departmental policies and procedures; perform secretarial and administrative support functions requiring independent judgment, decision-making and problem solving; plan, organize, prioritize and complete a high volume of work in a timely and efficient manner. Perform routine administrative duties without specific instruction and with a reasonable degree of independent judgment and decision-making. Analyze complex and sensitive situations carefully and adopt effective courses of action. Interpret, apply, and explain a wide range of policies, rules, and procedures. Work with situations and people to de-escalate stressors and conflict with flexibility in accordance to a given situation, analyzing and interpreting situations accurately and developing effective courses of action. Significant physical abilities include reaching/handling/fingering, talking/hearing conversations, near visual acuity/visual accommodation. Multilingual preferred.
· Education Required: Two (2) years beyond high school of specialized experience or training in computers and electronics.
· Licenses, Bonding and/or Testing Required: Criminal Justice Fingerprint Clearance (applicant agrees to assume cost upon offer of employment).
TERMS OF EMPLOYMENT: Salary and work year to be established by the Board.
EVALUATION: Performance of this job will be evaluated annually in accordance with provisions of the Board’s Policy on Evaluation of Support Staff Personnel.
