Position/Purpose
The Maintenance Supervisor maintains property by creating comfortable and productive environments, as well as provides administrative and technical direction for the operation and maintenance of the building(s). Manages the property’s maintenance staff in conjunction with the Facilities Manager and/or General Manager and may be responsible for more than one site.
Principal Job Activities
- Audit Operations - Maintain the day-to-day operations and assume responsibility for maintaining the physical asset of the property under the direction of the Facilities Manager and/or General Manager. Ensure operating personnel are capable of handling tasks (qualified people are in place), are productive and in compliance with OSHA and EPA.
- Project Management – Ensure all projects are well defined and understood, develop effective project plan which results in meeting cost, schedule, quality, functionality objectives (short and long term) and compliance with business goals.
- Capital Planning – Assist with annual capital plan for building systems, structure, parking, grounds, etc. for all site(s). Plan to include item descriptions, estimated costs, and priority of
- Utility Management - Keep current on state of energy technology related to building systems. Provide recommendations to management and include short payback projects in capital plan. Keep current on regulations (and deregulation) related to utilities. Ensure property is getting lowest unit cost utility.
- Suppliers - Develop product specifications and supplier sources for materials required to perform job. Material/equipment selections should be based on lowest life cycle cost and in accordance with existing building grade.
- Tools/Equipment Inventory - Perform annual inventory of tools and equipment and provide to Facilities Manager noting changes as well as identifying new/additional equipment required with supporting justification.
- Monthly Reports - Provide a monthly narrative for yourself and direct reports highlighting activities and non-routine events such as major projects, training received, savings achieved, significant customer service items and issues/concerns. Reports to be submitted on time without
- Staffing - Participate in staffing process and provide recommendations regarding staffing of open operations positions.
- After Hours Coverage - Ensure an afterhours program to provide adequate technical coverage. Participation between staff should be equitable.
- Staff Management & Training – Lead by example in problem-solving, prioritizing and decision- making, and ensure development plan exists for each maintenance employee under your supervision. Develop cross training program between staff.
- Peer Inspections – Coordinate peer inspection data to ensure readiness for the yearly property
- Schedules – writes schedules for maintenance staff ensuring adequate coverage for
- Performance Reviews- Writes and delivers performance reviews for maintenance staff in collaboration with Facilities Manager and/or General Manager.
- Assist with all necessary maintenance and operational programs.
- Boilers/Chillers/HVAC Systems – Maintain consistent reliability and provide direction on repairs as needed.
- Electrical Secondary (non-critical) – Maintain consistent reliability and provide direction on repairs as needed.
- Plumbing Provide direction on repairs as needed.
- All preventative maintenance done on schedule and on Develop new PM plans or change, as necessary.
- Operate effective general and preventative maintenance programs, by implementing and integrating Building Engines/Net Facilities, the computerized maintenance management system (CMMS), into daily operations of the facilities team.
- Promptly report all incidents, accidents, and/or injuries and provide thorough evaluation regarding cause and effect. Implement corrective actions as necessary to prevent further
- Recommendations and policy implementation for maintenance
- Provide Facilities Manager and/or General Manager with recommendations for and implementation of training programs and activities for subordinates and trainees and assess the progress of the individuals involved.
- Assist Facilities Manager and/or General Manager in performance appraisals for all direct
- Assist Facilities Manager and/or General Manager in development of business controls for operations and maintenance areas.
- Assist Facilities Manager and/or General Manager in preparation of annual operating
- As directed approve maintenance personnel time sheets and secure approval of overtime with the Facilities Manager and/or General Manager.
- Regarding suppliers, assist Facilities Manager and/or General Manager in:
- Coordination of bidding and pricing as well as Recommendation of vendors
- Issuance of purchase orders or receipt of contract
- Confirmation of receipt of goods or services
- Maintenance of quality and cost controls
- Regarding outside mechanical contractors, assist Facilities Manager and/or General Manager in:
- Evaluation of performance
- Evaluation of contract cost(s)
- Provisions for competitive bidding
- Recommendations for selection
- Responsible for a positive and prompt response to requests from property tenants and for the implementation or ongoing programs to constantly assess tenant needs and to assure problems are being solved promptly and to the mutual benefit of the tenant and the properties.
- High School diploma required---vocational degree and/or certification in HVAC, construction trades or building maintenance desired.
- 2-4 years’ experience as Maintenance/Senior Maintenance Tech, or equivalent experience
- Excellent communication skills, positive approach to job, and ability to handle multiple tasks
- Proficiency in MS Office programs (Outlook, Word, Excel )
- Experience with Computerized Maintenance Management Software (CMMS)
- Ability to handle multiple projects and make
- Area specific licenses required; CFC universal
- High level of knowledge of chiller/boiler
- High level of knowledge of Building Automation Systems (BAS)
- Must be able and willing to work varying schedules, which may include nights, weekends, and public holidays.
