✔ Experienced in medical office management – with a background in fertility, OB/GYN, urology, gastroenterology, dermatology, or similar specialties.
Key Responsibilities
✅ Clinic Workflow Optimization & Staff Management
- Identify and resolve inefficiencies in patient scheduling, front-office procedures, and operational workflows.
- Work with department leads to ensure seamless coordination between front desk, financial counselors, and clinical staff.
- Monitor staff productivity, adherence to workflows, and time management.
✅ Standard Operating Procedures (SOPs) & Policy Enforcement
- Develop, document, and implement clear SOPs for front desk operations, patient check-in, scheduling, and financial counseling.
- Ensure consistent adherence to policies and workflows by all staff members.
- Conduct regular audits and performance checks to maintain compliance and improve service quality.
✅ Financial & Revenue Oversight
- Work closely with the billing team to improve revenue cycle processes and patient collections.
- Ensure accurate cost estimates, insurance verification, and copay collection at check-in.
- Collaborate with leadership to monitor financial performance and optimize clinic profitability.
✅ Technology Implementation & Optimization
- Lead the implementation of EMR systems and other healthcare technologies, ensuring smooth integration into existing workflows.
- Provide ongoing support, troubleshooting, and training to staff to ensure the effective use of EMR and healthcare technologies.
- Work closely with IT and vendors to resolve any technical issues and enhance system functionality.
✅ Compliance & Performance Metrics
- Track patient wait times, check-in efficiency, and front-office workflow adherence.
- Implement quality control measures to improve clinic performance and ensure compliance with medical regulations.
- Conduct regular team training sessions to ensure all employees are aligned with clinic goals.
✅ Business Development & Vendor Management
- Oversee contracts, negotiations, and relationships with third-party vendors, suppliers, and service providers.
- Monitor and analyze business performance data to assess the effectiveness of operations and business development efforts.
- Work with senior leadership to identify new growth opportunities and optimize cost structures.
Qualifications
✔ 5 years of experience in medical office operations, preferably in fertility, OB/GYN, or procedural specialties.
✔ Strong leadership skills – comfortable holding staff accountable and ensuring adherence to policies.
✔ Experience developing and enforcing SOPs to improve efficiency.
✔ Expertise in revenue cycle processes, insurance verification, and patient financial counseling.
✔ Proficiency in EMRs, healthcare technology implementation, and practice management software.
✔ Experience negotiating contracts and working with external vendors.
✔ Highly organized, detail-oriented, and comfortable making data-driven decisions.
