Seeking Bright, Vibrant, Motivated Front Desk for Patient Coordination
We are seeking a friendly, organized, and professional individual to join our team as a Front Desk Associate at our multi-specialty comprehensive care dental office. In this role, you will be the first point of contact for our patients, ensuring their experience is welcoming and seamless from the moment they walk in the door. Strong interpersonal communication and organizational skills are essential for this role, enabling you to contribute effectively to the team while motivating and educating patients on the importance of optimal oral health and treatment. The ideal candidate is passionate about providing exceptional customer service and takes pride in supporting others.
Tuesdays 11:30a-7:30p, some Wednesdays 10a-3p, Thursdays 8:30a-5:30p, Fridays 8:30a-1:30p.
Key Responsibilities:
- Greet patients with warmth and professionalism, ensuring a positive first impression.
- Answer and manage phone calls, emails, and appointment requests promptly and courteously.
- Schedule and confirm patient appointments, optimizing the provider’s schedule.
- Make courtesy calls for treatment follow-up such as post-op calls, when necessary
- Coordinate specialist referrals by communicating with the specialist’s office, assisting with scheduling appointments, sending necessary x-rays and an explanatory letter, and providing the patient with a referral letter.
- Collect payments, explain treatment plans, and process billing inquiries.
- Verify insurance information and assist with claims when needed.
- Respond to and reply to requests for information.
- Coordinate with clinical staff to ensure smooth patient flow and exceptional service.
- Manage patient records and ensure compliance with HIPAA regulations.
- Maintain a clean and organized front desk and waiting area.
- Perform other related job duties as assigned
Qualifications:
- Experience in customer service or hospitality settings is a plus.
- Current CPR certification required prior to starting work.
- Previous experience in a dental or medical office is highly preferred, especially in a specialty setting (e.g., oral surgery, orthodontics, periodontics, etc.), but not required.
- Knowledge of dental software systems (e.g., Dentrix, Eaglesoft, Open Dental) is a plus.
- Strong interpersonal and communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to multitask and remain calm under pressure.
- Friendly and professional demeanor with a patient-focused attitude.
