About Us:
The Center for Hope and Health is a mental health private practice providing evidence based treatment for eating disorders, anxiety disorders, OCD, and PTSD. We are seeking a reliable, organized, and empathetic Intake Coordinator/Office Manager to support administrative operations and serve as the first point of contact for prospective clients.
Key Responsibilities:
Client Intake & Communication:
- Respond promptly and professionally to all client inquiries via phone and email.
- Conduct initial phone consultations, providing information about services, fees, and appointment availability.
- Add new patients to our patient portal and send appropriate paperwork.
- Follow up with therapists, prospective clients, and referral sources to ensure seamless onboarding.
- Track client retention over time.
Office Management & Operations:
- Manage payroll and ensure timely and accurate compensation for staff.
- Support business operations, including billing, invoicing, and financial record-keeping.
- Maintain compliance with HIPAA and other confidentiality regulations.
- Coordinate office maintenance as needed.
- Support co-founders and clinicians by providing administrative support as needed.
Qualifications:
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive client information.
- Proficiency in practice management software and office tools (e.g., Google Workspace, QuickBooks, My Best Practice).
- Empathy, professionalism, and a client-focused attitude.
- Previous experience in office management, administrative support, or client services (mental health or medical office experience preferred).
Compensation:
- Hourly pay based on experience within $20-$25 range.
- Flexible, part-time hours.
