Clinic Operations Manager

Full-Time / Exempt 

Great Falls

Position Overview: 

Provides a wide range of responsibilities associated with front desk operations for both in-person and telehealth services. This includes, but is not limited to, administrative leadership of day-to-day activities for client access processes associated with applying for Many Rivers Whole Health (MRWH) clinical services, insurance & payment set-up, petty cash, scheduling for intake(s) and continued client appointments, discharge processes, data tracking and reporting, front desk tasks in the electronic health record, office supply requisitions, lobby upkeep, opening and closing oversight at all MRWH locations with front desk support, and employee training. Interacts directly with the clients as well as overseeing the direct supervision of Client Registration Representatives.

Job Duties: 

  1. Supervising Client Registration Representatives duties to ensure client registration, all associated documentation and scheduling is complete and accurate per Administrative Rules of Montana, MRWH needs and Certified Community Behavioral Health Clinic (CCBHC) standards, including working closely with all leadership for efficient and effective workflow processes.
  2. Enforcing company policies and procedures; ensuring department procedures are being observed and enacted effectively and accurately; and communicating with providers and other departments to ensure successful clinic operations. 
  3. Responsible for overall processes and procedures to ensure that all clients are being connected in a timely manner with appropriate service providers for their needs, including coordinating as necessary with community agencies and providers.
  4. Manages verbal, electronic, and written communications between medical, clinical, addictions and any other direct service employees necessary to ensure that all clients are seen by the right provider at the scheduled time.
  5. Overseeing cash collections, petty cash, and reviewing posting reports to ensure accuracy of client account balances.
  6. Supervising processes for reviewing client eligibility documents for accuracy and completeness.
  7. Ensuring client insurance authorizations have been completed, insurance/funding sources and eligibility are properly entered into the electronic health records and working directly with Client Financial Services for successful billing.
  8. Provide training to employees and implement employee development. Tracks employee training progress for compliance with training matrix and individual program requirements.
  9. Responsible for the opening/closing monitoring oversight in all MRWH locations with a front desk support team.
  10. Monitor departmental budget monthly and report variances.
  11. Coordinate with Human Resources for recruitment, employee evaluations, performance improvement plans, hiring, and recommending terminations. 
  12. May be required to work additional hours as necessary.
  13. Must have a valid driver’s license, personal vehicle, and valid vehicle insurance; will be traveling to all MRWH locations.

Minimum Qualifications: 

  1. Completion of a bachelor’s degree or equivalent associates degrees in a related human service or business field and one year’s experience in front desk leadership is required. 
  2. Graduation from high school or GED and a combination of relevant experience equaling at least five years may be considered. 
  3. Master’s degree in business with one year’s experience is preferred. 
  4. Supervisor experience is preferred. 
  5. Knowledge and experience in Word, Excel, multi-phones, and customer service required. 
  6. Call Center knowledge preferred.


Wage = $48,900 DOE
