What are the responsibilities and job description for the Medical Biller + Client Care Coordinator position at Center for Personal Wellness?
We are seeking a highly organized and detail-oriented professional to fill a hybrid role as a Client Care Coordinator & Medical Biller. This position combines front-end client support with back-end financial management to ensure a seamless experience for both clients and clinicians. The ideal candidate is someone who excels in customer service, problem-solving, and financial oversight within a mental health practice.
Part-time, 20 hours per week.
Tuesday: 9am – 2pm
Wednesday: 8am – 5pm
Thursday: 8am – 2pm
Medical Billing & Accounts Management:
- Submit accurate daily claims and resolve claim rejections in a timely manner.
- Maintain and manage accounts receivable, ensuring timely payment collection from clients using commercial insurance or private pay.
- Stay up to date on behavioral health CPT codes, DSM-5, and ICD-10 coding regulations.
- Perform eligibility and benefits checks for all clients to ensure accurate billing.
- Maintain financial and billing dashboards, tracking payments, outstanding balances, and claims progress.
- Communicate directly with clients regarding financial obligations, payments, and outstanding balances with professionalism and sensitivity.
Client Care Coordinator Duties/Responsibilities:
- Manage intake calls (respond to phone and email inquiries, schedule intake appointments with appropriate therapist, answer practice -related questions).
- Coordinate with clinicians on filling their schedules.
- Provide metrics to directors on intake stats.
- Manage intake paperwork collection and ensure EHR files are accurate.
- Stay highly organized.
- High attention to detail and ability to prioritize various projects independently.
- Passion for working with others (being collaborative) and helping our team members grow and learn.
- Ability to handle and provide straight-forward feedback to the administrative team members.
- Be a problem solver and think ahead to ensure any challenges don’t greatly impact progress or outcomes for clients.
- Ability to set goals and develop achievable timelines to hit them.
- Other duties as may be assigned.
Qualifications & Requirements:
Experience:
- Minimum 1 year of experience in healthcare billing (mental health preferred but not required), insurance verification (VOB), explanation of benefits (EOB), and EMR/EHR systems.
Skills:
- Strong interpersonal skills to interact professionally with clients, clinicians, and administrative staff.
- Proficiency with Google Workspace and EHR/EMR platforms preferred.
- Ability to multitask, prioritize, and meet daily and monthly productivity goals.
- Familiarity with behavioral health billing practices and insurance processes.
- Strong problem-solving skills and the ability to anticipate challenges before they arise.
- Excellent written and verbal communication skills.
- Ability to work independently while contributing to a collaborative team environment.
