Position Summary

The Primary Role for this Front Desk Position is to manage the Referrals and Authorizations for the 8 doctors in the practice.  This employee is also required to cover the front desk as needed. 

 

Key Responsibilities:

  • Referral Processing:Receive and process referral requests from healthcare providers, ensuring that all necessary information is included, such as medical history, insurance details, and reasons for referral.

  • Patient Communication:Communicate with patients to inform them about the referral process, answer any questions they may have, and schedule appointments with specialists as needed.

  • Insurance Verification:Verify insurance coverage for referred services and obtain pre-authorizations when required. Liaise with insurance companies to resolve any issues or discrepancies related to coverage.

  • Collaboration with Providers:Work closely with primary care physicians, specialists, and other healthcare professionals to ensure that all necessary referrals are completed smoothly and that patient care is continuous.

  • Documentation and Record Keeping:Maintain accurate records of all referrals, authorizations, and communications related to patient

  • Appointment Scheduling:Assist in scheduling appointments with specialists, ensuring that patients are seen in a timely manner and that referral information is provided to the specialist in advance.

  • Follow-Up:Monitor the progress of referrals, ensuring that patients are seen by the appropriate specialist, follow-up appointments are made, and necessary tests are scheduled.

  • Problem Resolution:Address any issues that arise during the referral process, such as delays or issues with insurance coverage, by providing solutions and communicating with the appropriate parties

 

When backfilling for the Front Desk:

 

Provides exceptional patient service, both in person and over the phone. This position interviews patients and/or their representatives to obtain complete and accurate demographic, financial and insurance information, required for billing and collecting patient accounts. The Front Office Associate performs a variety of clerical and patient service duties necessary to maintain efficient flow of operations in the medical office. The Front Office Associate may answer multiple phone lines, schedule appointments, assist in processing medical records requests, enter patient demographic and insurance information, and accept patient payments.

 

Responsibilities

• Displays high level of professionalism and gives superb customer service

• Obtains and reviews patient demographic and insurance information for accuracy

• Verifies insurance and collects copays, co-insurance, and outstanding balances as well as obtaining Authorizations and Referrals

• Ensures all patient intake forms are signed and complete

• Answers patient communication pathways including multiple phone lines, Solution Reach Conversations Messaging Portal, and email/fax

• Schedules appointments

• Processes medical record requests per policies and procedures

• Coordinates with Clinical Staff to ensure optimal patient experience

 

Qualifications

Education:

• High School Diploma or Equivalent Certificate

 

Required Skills:

• Minimum 2 years of experience in a medical office/health care setting

• Minimum 2 years of health care insurance experience

• Strong computer knowledge and skills with a minimum typing speed of 30 WPM

• Strong desire to assist others and provide excellent customer service

• Must be highly dependable and organized

• Outstanding interpersonal skills

• An impeccably clean, polished, professional image

• The ability to learn quickly, retain training, problem solve and think independently

• Understanding of medical terminology
