Your Day-to-Day: As our Executive Assistant, you will play an essential role by:
- Keeping Us Organized: Manage schedules, complete expense reports, handle communication to key stakeholders, and make sure everything runs smoothly day-to-day.
- Communicating with Style: Be the friendly face of our CEO in written communications with staff, board members, and community leaders.
- Helping with Events: Provide logistical support for our trainings, workshops, and events, ensuring everything goes off without a hitch!
- Building Relationships: Develop great connections across the organization to stay in the loop on ongoing initiatives.
- Representing CVNL: Attend community events as an ambassador of CVNL and our CEO, spreading positivity and engagement.
- Providing Support: Be ready to help anyone with questions about our programs and services, connecting them with the resources they need.
- Simplifying Processes: Identify opportunities for us to improve our operations and bring innovative ideas to the table.
- Backing Our Board: Assist our Board of Directors with meeting preparations and documentation to keep everything running smoothly.
- Managing Vendors: Take the lead on various vendors for our multiple facilities and systems. Managing relationships, securing new proposals and updating staff.
- Staying Documented: Keep track of important board documents and ensure 'give/get' goals and results are up-to-date.
- Detail-Obsessed: An eye for detail is key! You’ll ensure everything is accurate and presents well.
- Friendly Communicator: You should have excellent written and verbal communication skills to represent us professionally.
- Resourceful: Be proactive and able to juggle many things simultaneously – we have a lot going on!
- Tech-Friendly: Comfort with Microsoft Office Suite and a willingness to learn new tools will serve you well.
- Project Management Czar: Familiarity with project management software like Asana, Trello, or Basecamp for coordinating tasks, timelines, and resources across departments.
- Passion for or experience in the nonprofit sector is a plus!
- Experience with writing contracts, grants, presentations, or reports is preferred.
- Experience working effectively with diverse cultural and social populations.
Physical & Travel Requirements:
- This role is based in our San Rafael office during standard hours of Monday - Friday, 9 AM to 5 PM.
- Occasional travel around Marin and North Bay Area may be needed, including some evenings and weekends for special projects.
- Be prepared for some physical activity as part of your duties, like standing, walking, and occasionally lifting up to 25 lbs.
- Vacation: 12 days in year 1, 15 days in year 2, 20 days in year 5.
- SICK: 11 Sick days per year
- Holidays: 13 days observed.

Compensation:
The budgeted starting salary that CVNL reasonably expects to pay for this position is $70,000 to $75,000 annually. This takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, external market comparisons for similar positions in similar geographic locations and size. Offers are determined based on final candidate qualifications and experience.
