Job Overview:
The Front Office Coordinator works as the clinic receptionist, which includes registering patients, checking in patients, answering phones, and greeting visitors.
What You’ll be Doing:
- Greet and welcome patients as they arrive at the clinic, ensuring a positive experience.
- Answer phone calls promptly, addressing patient inquiries and directing calls as needed.
- Print and process referrals received via email and fax, ensuring accurate documentation.
- Contact patients to schedule initial appointments based on referral information.
- Check patients in upon arrival, confirming required information.
- Register and pre-register patients, ensuring all necessary forms and details are completed accurately.
- Contact patients who missed appointments or have no follow-up scheduled.
- Appropriately use hospital resources, including ordering of supplies and equipment.
- Consistently adhere to company, hospital, and accrediting body clinical, safety, and compliance standards.
- Ensure compliance with the Health Insurance Portability and Accountability Act (HIPAA) by safeguarding patient information and maintaining the highest level of confidentiality standards.
- May be responsible for participating in the onboarding and training of new team members.
- Other duties as assigned.
Requirements for This Role:
- High school diploma or GED required.
- Current Basic Life Support (BLS) from approved agency.
- 1 years of experience in receptionist type role in medical clinic required.
- Patient Scheduling and Insurance Verification experience required.
- Proficient in Microsoft Office or related systems.
- Strong verbal and written communication skills.
- Ability to treat others with compassion and patience.
- Ability to work in a fast-paced team-oriented environment.
- Must possess excellent interpersonal skills.
- All employees are required to comply with HIPAA policies and procedures.
Desired Qualifications for this Role:
- Outpatient clinic preferred.
Physical Demands:
The physical demands described are representative of those that must be met by a Front Office Coordinator to successfully perform the essential competencies, duties, and requirements of this position. These include standing, walking, driving, lifting up to 50 pounds and sitting for extended periods of time and looking at a computer screen for extended periods of time. In addition, pushing, pulling, stooping, squatting and shifting heavy objects, as well as air travel, may be required. Employees should ask for assistance if needed.
