GENERAL FUNCTIONS
This is a professional position that performs a variety of clerical/support activities that create efficient and effective communication within the organization.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Announces and routes incoming telephone calls on a multiline system.
- Greets and announces consumers and visitors.
- Checks clients in and out for appointments. Verifies demographic information and obtains signatures on any necessary consent forms upon check in.
- Schedules psychiatry, psychotherapy, and nursing appointments for clients and do telephone appointment reminders.
- Replies to email correspondence to WHCG Reception email group emails in a timely manner.
- Types correspondence for staff and make copies as needed.
- Prepares and distribute the on call schedule to the answering service weekly.
- Transfers telephones to the answer service nightly.
- Locks and secures the second floor area nightly.
- Assists the Medical Records Specialist by scanning, naming and uploading patient documents into the electronic health record for the Outpatient Clinics.
- Assists the Intake Specialist with processing outpatient referrals as needed.
- Distributes/prepares mail and faxes daily.
- Records maintenance requests for WHCG facility residents.
- Accepts and documents payment for services rendered at WHCG, and manages a till/petty cash.
- Works in partnership with the quality department to develop appropriate measures in support of program outcomes.
- Participates in department quality planning activities, (e.g. continuous improvement, Logic models, performance metrics, etc.,)
Qualifications
EXPERIENCE AND SKILLS
High School Diploma/GED is required. Minimum of 2 years’ experience of receptionist/switchboard operator experience. Travel is not required for this position. Must be familiar with Microsoft Word and Excel. Ability to type a minimum of 120 wpm. Professional workplace appearance and conduct; friendliness and courtesy to consumers, coworkers and vendors. Effectively communicates and develops good working relationships with co-workers. Reliability in reporting to work regularly and on time. Must possess good communication, listening, writing and organizational skills. Ability to communicate clearly and concisely in English and Spanish, both orally and in writing. Knowledge of medical transcription guidelines and practices is desirable. Ability to operate word processing equipment, dictation and transcription equipment, and other equipment as specified.
Work is performed largely in an office environment utilizing various office equipment including, but not limited to, a personal computer, copy machine, fax machine, and multi-line phone. Hours of work will generally be during regular business hours and average at least 40 hours a week. Ability to communicate effectively over the telephone, by computer and in person. Ability to perform well in a fast paced work environment.
