Overview
We are seeking a dedicated and enthusiastic Customer Service Associate (CSA) to join our team. Under general supervision of the Office Manager, performs a variety of routine to complex customer service functions including answering phone calls, researching problems; responds to customer complaints and inquiries; receive and reconcile payments; processes water service applications; generating service orders, and preforms other work as assigned. The ideal candidate will possess strong communication skills, a customer-focused attitude, and the ability to handle various tasks efficiently. Duties

  • Pleasantly greet customers in person or on the phone.
  • Determine customer's needs and provide customer with necessary forms for application of residential or commercial services for water and/or wastewater. Assist customer with completion of the forms, and check forms to assure correct information has been obtained.
  • Quote security deposits for all residential and commercial water and/or wastewater services. Inform customers of different options available to reduce or waive deposits.
  • Research customers past payment records for determining waiver of deposits, or to provide references to other utilities.
  • Examine prior accounts held by customer to determine if applicants owe an old debt and discuss with applicant payment of debt.
  • Start or terminate residential or commercial water service accounts; inputs information and verifies for accuracy; files all supporting documentation.
  • Generates routine service orders then route service orders to Field Service personnel.
  • Answer question of general inquiry concerning billing, various services provided and service areas. Have basic understanding of how other departments operate to better answer inquires. Explain policies and procedures that affect customers including, but not limited to, security deposits and billing processes.
  • Address customer inquires and complaints concerning high bills and billing errors and route to proper personnel for investigation and resolution of inquiry.
  • Assist customers by providing names and phone numbers of various financial aid agencies in the area.
  • Maintains cash drawer; accepts, processes, and reconciles all payments; prepares deposit when required.
  • Perform basic customer account reconciliation.
  • Receives and receipts customer payments.
  • Perform basic math calculations for transactions and provide change as needed.
  • Perform variety of clerical duties, including typing, filing, data entry, etc.

Skills

  • Two years of demonstrated excellent customer service experience in cash handling, billing, payment collection related experience (Water & Wastewater experience preferred).
  • Must be skilled in general office practices and ability to use standard office equipment.
  • Demonstrated computer skills working with Microsoft Word, Excel, Power Point, Outlook and Internet search tools.
  • Strong customer service skills with the ability to communicate effectively with diverse clientele.
  • Bilingual abilities are highly desirable for better communication with customers.
  • Proficient in basic math skills for handling transactions accurately.
  • Familiarity with cash register operations and point-of-sale systems is beneficial.
  • A proactive approach to problem-solving and the ability to work under pressure while maintaining professionalism.

Minimum Requirements

  • High School Diploma or equivalent. An equivalent combination of education, training and experience that provides the knowledge, skills and abilities necessary to preform the essential functions of the position, including working with the general public.
  • General and/or specialized education and training required for the incumbent to progress to higher level or be assigned specialized duties.
  • Preferrable experience related to water and/or wastewater administrative duties.

Work environment and Physical demands

  • The physical demands are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to sit, use hands to finger, or feel objects, tools, or controls and talk or hear. The employee is occasionally required to stand, walk, reach with hands and arms, and stoop, kneel, crouch, or crawl. The employee must regularly lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Mental Demands: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several variables in standardized situations. Ability to communicate effectively with customers, other employees, team leaders and the general public, both in person and by telephone. Ability to prepare and compose written correspondence. Ability to read and interpret procedure manuals and ordinance documents.
