Position Overview:
The Front Desk Concierge will play a critical role in creating a welcoming environment for clients while supporting the day-to-day operations of our business. This position requires a highly organized and tech-savvy individual with excellent technical and interpersonal skills. The ideal candidate will have experience with Mindbody, EHR systems, and Excel, along with a passion for health and wellness. Cash handling, problem-solving, and multitasking are essential components of this role.
Key Responsibilities:Client and Guest Services:
- Serve as the first point of contact for clients, providing a warm, professional, and welcoming experience.
- Manage bookings, appointments, and schedules using Mindbody and other EHR systems.
- Answer client inquiries about services, pricing, and availability in person, over the phone, or via email.
- Provide guidance to clients about available wellness modalities and assist in selecting the right services for their needs.
Administrative and Technical Support:
- Maintain accurate records and databases to ensure up-to-date client and operational data.
- Utilize Excel for tracking, reporting, and operational analysis as needed.
- Handle administrative tasks such as responding to emails, phone calls, and handling inquiries promptly.
- Support the implementation and improvement of workflows and processes to ensure efficient operations.
Cash Handling and Financial Responsibilities:
- Handle cash transactions, including receiving payments, issuing receipts, and maintaining accurate records.
- Reconcile daily transactions and ensure accurate financial reporting.
Facility and Inventory Maintenance:
- Assist in managing inventory and ordering supplies as needed to ensure smooth daily operations.
- Ensure the front desk and reception areas are clean, organized, and stocked with promotional materials or resources for clients.
Promoting Wellness and Services:
- Stay informed on the latest health and wellness trends to align with the company’s mission.
- Actively promote wellness services, packages, and loyalty programs to clients.
Problem-Solving and Team Collaboration:
- Address client concerns or complaints promptly and professionally, escalating when necessary.
- Collaborate with team members and service providers to resolve scheduling conflicts or other operational challenges.
Qualifications and Skills:
- Tech-Savvy: Proficiency with Mindbody, EHR systems, and Microsoft Excel is required.
- Cash Handling: Proven ability to handle cash transactions accurately and responsibly.
- Organizational Skills: Exceptional attention to detail and the ability to manage multiple tasks effectively.
- Interpersonal Skills: Friendly, professional, and customer-focused with excellent communication skills.

Requirements:
- Previous front desk or administrative experience, ideally in a health and wellness setting.
- Demonstrated proficiency with Mindbody, EHR platforms, and Microsoft Excel.
- Proven experience in handling cash transactions responsibly.
- High school diploma or equivalent; additional education in health, wellness, or business is a plus.
- Flexible and reliable with a strong work ethic and positive attitude.
- Must be comfortable with technology and managing software and proven experience.
