Central Connecticut State University is seeking a full-time Administrative Operations Assistant to join the Dean’s Office in the School of Engineering, Science, and Technology. This role provides comprehensive administrative and organizational support to the Dean, Associate Dean, and Faculty Leadership Fellows. The Dean’s Office provides overall leadership and supervision of a diverse and dynamic School consisting of 11 academic departments, nearly 150 full-time faculty and staff, numerous part-time faculty, and more than 2,700 students. The Administrative Operations Assistant will play a key role in supporting the leadership team and ensuring the efficient operation of the office.

Position Profile
The Administrative Operations Assistant serves as the primary contact for the Dean’s Office. The incumbent interacts with students, faculty, and staff from academic and administrative units across campus, along with alumni and community partners. Responsibilities include a range of duties to provide support services while keeping the office operating smoothly and efficiently. These include:
- Welcoming and directing faculty, staff, students, and visitors to the Dean’s Office.
- Answering, screening, and transferring phone calls and emails.
- Generating work orders and administrative service requests.
- Coordinating and scheduling meetings for the Associate Dean, Dean, and SEST Leadership Council.
- Updating and maintaining confidential records.
- Preparing correspondence and reports.
- Assisting in coordinating special events.
- Helping to update the Dean’s Office and School websites and social media.
- Participating in key office and school planning activities, with a focus on compiling information and data.
- Recording and distributing meeting minutes and other official records.
- Maintaining office supplies, coordinating purchases for the Dean’s Office, and overseeing office equipment maintenance.
- Reconciling purchase card statements.
- Arranging travel for the Associate Dean and Dean, and assisting with faculty travel requests and reimbursements.
- Performing project management duties as assigned.
Applicant Evaluative Criteria

Education:
Minimum of an associate degree from an accredited institution of higher education.
Experience and Training:
- At least two (2) years of administrative support experience in a professional setting.
- Proficiency in the Microsoft Office Suite including email, calendaring, shared document management, and virtual meeting scheduling.
- Experience creating forms, spreadsheets, and reports.
- Excellent communication, interpersonal, and customer service skills.
- Demonstrated organizational, proofreading, and editing abilities.
- Ability to multitask, prioritize deadlines, and maintain attention to detail.
- Capacity to work both independently and collaboratively.
- Commitment to serving diverse cultural, ethnic, and linguistic communities.
Ideal Candidate
Preferred qualifications:
- Bachelor’s degree.
- Experience working in an academic environment.
- Experience supporting an executive, senior level administrator in a confidential environment.
- Experience working with enterprise resource systems (e.g., Banner, Concur, Slate, and others) that support educational and business functions of a school or university.

Compensation and Employee Benefits
The Administrative Operations Assistant is compensated at the Professional 1 salary level in accordance with CSCU Human Resources Policies for Management and Confidential Professional Personnel.
