Reports To: Director of Facilities & Projects
Purpose: The Facilities Accounting Coordinator is responsible for overseeing all Accounts Receivable (AR) functions within the Facilities Department, including invoicing, payment tracking, and financial reporting. This position also manages the setup and maintenance of utility accounts for all new and existing Tlingit & Haida buildings, ensuring accurate and timely billing. Additionally, the role provides administrative support as needed.
Working closely with the Director of Facilities & Projects and Tlingit & Haidas Finance Team, the Facilities Accounting Coordinator helps maintain precise financial records, supports reconciliation efforts, and ensures adherence to tribal, state, and federal financial policies.
Essential Functions. An individual in this role must be able to perform the following functions with or without reasonable accommodation:
- Accounts Receivable (AR) Management:
- Process and track invoices related to rent, utilities, and other facility-related charges.
- Ensure timely collection of payments and follow up on outstanding balances.
- Maintain organized financial records and generate AR reports for leadership.
- Utility Account Management:
- Set up and manage utility accounts (electric, water, gas, internet, etc.) for new and existing buildings.
- Ensure all accounts are correctly assigned and billed to the appropriate facility.
- Monitor utility usage and costs, identifying discrepancies or potential savings.
- Financial Coordination & Reporting:
- Work with the Finance Department to reconcile AR records with general ledger accounts.
- Assist in preparing financial reports and tracking expenditures for facilities operations.
- Support budget development and forecasting for facility-related expenses.
- Administrative & Operational Support:
- Maintain and update facility-related financial documents, contracts, and agreements.
- Collaborate with vendors, service providers, and internal teams to resolve billing or account issues.
- Provide support for facility-related audits and compliance reviews.
- Other Duties as assigned.
Knowledge, Skills & Abilities. A comprehensive set of capabilities required to perform job tasks effectively:
- Strong understanding of accounts receivable processes, invoicing, and financial reconciliation.
- Experience managing utility accounts and facility-related financial tasks.
- Ability to interpret financial policies, contracts, and lease agreements.
- Excellent communication skills verbal, written, and presentation.
- Ability to use an integrated accounting software system and Microsoft Office applications, and electronic transmitting applications.
- Ability to work independently and collaboratively with multiple departments.
- Strong analytical, problem solving, and organizational skills
- Ability to identify discrepancies or inaccuracies in data and make corrections.
Minimum Qualifications (education, experience, skills):
- Associate degree in Accounting, Business Administration, Finance, or a related field (preferred) or any combination of education and/or experience year for year.
- Two (2) years of experience in accounts receivable, billing, financial administration, or a related role.
Preferred Qualifications (education, experience, skills):
- Bachelors degree in a relevant field.
