Front Desk Receptionist Position

Central Florida K-9 is looking for a Part Time Front Desk Receptionist. Central Florida K-9 is a diverse and unique canine training, boarding & sports center located on 30 acres in Lake County, FL, 8 minutes from the new 429 Beltway Extension. CFK9 specializes in training dogs in the following areas: scent, tracking, sports and agility, police and military working dogs, civilian training classes & problem solving.

The Front Desk Receptionist works directly for and is responsible to the Office Manager and is a support position;

Hourly Position.

The Receptionist is the first point of contact for the entire organization and must possess a positive, welcoming attitude and the ability to multi-task a variety of activities in a fast-paced environment. The ideal candidate should have front desk experience working in a veterinary office, dog training or pet boarding facility, have an interest working in the above-listed areas, and meet or exceed the requirements below.

Minimum Requirements:

  • Must be at least 21 years of age.
  • High school diploma or GED required.
  • Bachelor’s Degree, preferred.
  • Must be willing to work days, weekends and holidays as needed.
  • Must have at least 2 years front desk reception experience. Veterinary office, animal care facility and/or large kennel, preferred.
  • Must have working knowledge of Microsoft Word and Excel.

Duties and Responsibilities include but are not limited to the following:

  • Greet guests, determine nature of business and announce guests to appropriate team member.
  • Responsible for keeping all client records and files current and up to date, both hard copy and computer generated.
  • Perform general office duties i.e. responding to phone calls, phone messages and emails.
  • Collect and track payments, arrange reservations and maintain customer information using customer relations management (CRM) software.
  • Verify and maintain pet vaccination records.
  • Manage customer service and mitigate customer complaints quickly and efficiently.
  • Answer and/or return phone calls and set up appointments.
  • Answer questions regarding the organization, services offered, give address, directions and other information as needed.
  • Maintain neat and clean appearance of reception and gift shop areas, employee break room and restrooms.
  • Sweep, mop, dust and restock items as needed.
  • Provide support to administrative projects as needed.
  • Maintain and assemble printed forms and documents for use by training team.
  • Receive deliveries, check in and route to the appropriate team member

Office Administration

  • Create and organize various documents and forms used for training, scheduling, invoicing, and contract quotes.
  • Maintain and update customer database.
  • Answer phones, check out and maintain client files.
  • Assist Business Manager as needed.
  • Assisting Staff as required.

The required competencies of the Front Desk Receptionist include, but are not limited to:

  • Teamwork - Balances team and individual responsibilities; contributes to building a positive work environment. Will not start rumors or complain. Shows up on time, ready to work. Will not call out without getting someone to cover.
  • Professionalism - Accepts responsibility for own actions; follows through on commitments.
  • Attention to Detail - demonstrates accuracy and thoroughness; looks for ways to improve and promote quality.
  • Attendance/Punctuality – Consistently at work and on time; “not a clock watcher”.
  • Dependability - Follows instructions, responds to management direction; commits to long hours of work when necessary to reach goals and to get the job done.
  • Initiative - Takes independent actions and calculated risks; asks for and offers help when needed. Gets things done without having to be told.

Qualifications and Experience

  • High school diploma or GED; 4 Year degree preferred.
  • Must be able to talk to others to convey information effectively during both training and in a normal work setting.
  • Must be able to understand written sentences and paragraphs in work related documents.
  • Possesses the ability to listen and understand information and ideas presented through spoken words and sentences.
  • Possesses the ability to communicate information and ideas in speaking so others will understand.
  • Communicate clearly and effectively with clients, staff, managers and owner.
  • Interact with clients and associates in a courteous, empathetic, and discreet manner.
  • Possess a working knowledge of basic office applications. MS Word, MS Excel and be comfortable learning new applications as needed.
  • Utilize basic office equipment (i.e. copier, telephone, computer and e-mail).
  • Problem-solve using all available resources.
  • Read and write effectively.
  • Maintain regular and punctual attendance.
  • Lift and carry 50 pounds and store items in overhead areas.
  • Bend squat, kneel, climb, run and reach.
  • Sit or stand for prolonged periods of time.

Pay: $14.50 - $16.00 per hour
