Summary
We are seeking an Event Coordinator to join our team at our Greenwood office! This role is essential in planning and executing various events that promote our mission and engage our staff & members. The Event Coordinator will play a key role in ensuring that all events are well-organized and successful. Office hours are Monday-Friday, 8am-4:30pm. Responsibilities
Event Planning and Coordination:
- Manage and keep track of the events calendar for our corporate headquarters, including meetings, conferences, and training seminars.
- Send weekly communication to management detailing the weeks events.
- Collaborate with staff and vendors to understand their event needs.
Budget Management:
- Work with staff to manage event budgets, ensuring all costs are tracked and reported.
- Negotiate contracts with vendors, venues, and suppliers to ensure cost-effective solutions.
On-Site Event Management:
- Plan, organize, and complete all aspects of events including event details, time/dates, set-up/tear down.
- Handle day of event communications; including order placement, stocking of beverages, vendor monitoring, and issue resolution.
- Confirm and communicate event details with CMRCC management and personnel.
- Ensure all events comply with company policies, safety regulations, and legal requirements.
Requirements
- Proven experience in event planning or coordination.
- Strong time management skills with the ability to handle multiple projects simultaneously.
- Excellent customer service skills with a focus on guest satisfaction.
- Ability to work collaboratively with team members and external partners.
- Familiarity with budgeting processes related to event planning is preferred.
- Experience in hospitality or related fields is a plus.
