Executive Secretary
FLSA Status: Non-Exempt
Job Goal: Performs high level secretarial work; works with the public, the schools and system departments concerning administrative operations; displays excellent planning and organization skills with a strong emphasis on customer service; proactive problem-solver with commitment to excellence and upholds confidentiality.
QUALIFICATIONS:
- High School Diploma or GED required; Associates degree in Office Administration or related field preferred.
- Minimum of five (5) years of highly responsible secretarial experience.
- Proficient knowledge of Microsoft Office Suite, to include Microsoft PowerPoint and Excel.
- Knowledge and experience in basic office procedures and small equipment.
- Must have excellent communication and telephone etiquette to work successfully with other professionals.
- Such alternatives to the above qualifications as the Superintendent finds appropriate and acceptable.
RESPONSIBILITIES:
- Prompt and regular attendance.
- Schedules and coordinates appointments/meetings for the Deputy Superintendent.
- Composes, types and transcribes correspondence.
- Answers phone/e-mail correspondence and provides information or directs to correct administrator.
- Prepares, files and organize reports as needed in systematic manner.
- Submits reports to GADOE, legal personnel and data portals.
- Coordinates, attends and records minutes of staff meetings.
- Communicates appropriately with internal and external customers in person, by telephone, and in writing.
- Performs usual office routines and practices associated with a busy, productive office environment.
- Distributes and accepts school related documents.
- Assists with inquiries/requests of schools/central offices as part of operations responsibilities.
- Performs such other tasks and assumes other responsibilities as assigned by the Deputy Superintendent or Superintendent of Schools.
Physical Requirement:
Able to perform routine physical activities that are required to fulfill job responsibilities including:
Light work: Exerting up to 10 pounds of force occasionally as needed.
Terms of Employment:
240 days. Salary shall be paid consistent on the Systems's approved salary schedule. Length of work year and hours of employment shall be established by the system.
Evaluation: Performance of this job will be evaluated by the Deputy Superintendent.
Salary : $27,335 - $44,416
