The Bibb County School District is now accepting applications for Project AWARE Program Assistant (Service Agreement)
This is a temporary, hourly position (Service Agreement) that is funded by SAMHSA for Project AWARE. It will end at the conclusion of the grant cycle.
JOB SUMMARY: Under general supervision, uses independent judgment and initiative to perform a variety of office management and advanced secretarial duties in support of the Project AWARE (school-based mental health) program, management, staff and/or other operations.

KNOWLEDGE, ABILITIES & SKILLS:
1. High level of verbal and written communications skills.
2. Exemplary interpersonal, planning, and time management skills.
3. Ability to receive and process referrals, maintain and track records, and reconcile issues.
4. Ability to assemble and organize data and to prepare reports from such data.
5. Ability to handle confidential and controversial matters with discretion and confidentiality.
6. Possess excellent time management skills and ability to multi-task and prioritize work.
7. Skill in the proficient operation of desktop computer, laptop, multi-line phone, cellular phone, and other general office equipment.
8. Proficient in using Microsoft Office 365 applications.
9. Ability to assist with outreach and other events during some evenings and weekends.
QUALIFICATIONS:
1. Two-year (2) college degree or post-secondary training in a recognized secretarial training program, business education, or office management; or five (5) years of related experience and/or training; or equivalent combination of education and experience.
DUTIES AND RESPONSIBILITIES:
1. Demonstrates prompt and regular attendance; works 30-35 hours each week.
2. Initiates, composes, and types memos, correspondence, reports and other documents.
3. Serves as communications link between assigned unit and internal and external contacts.
4. Conducts comprehensive clerical research using a variety of resources to generate reports and respond to requests.
5. Completes tasks and assignments associated with administrative support functions in areas such as: personnel, budget, purchasing, bookkeeping, referrals, student support service records, outreach, etc.
6. Provides secretarial and clerical support to program personnel.
7. Establishes and maintains filing and record-keeping systems and reference manuals/ materials.
8. Maintains staff calendars and schedules appointments, meetings, training, and conferences. May make travel and lodging arrangements for staff.
9. Monitors use, secures, and maintains supplies, equipment and/or facilities for assigned unit.
10. Secures and delivers materials needed by program staff for training, outreach, small groups, etc.
11. Provides outreach at school, district, and community events.
12. Assists with training and special events (includes participant correspondence, sign-in, event set up, etc.)
13. Collects and distributes incoming mail. Prepares for delivery and sends outgoing documents and other materials.
14. Enters data from forms, records and/or reports using a computer.
15. Attends seminars, conferences, job-related training, and other staff development training programs. May serve on committees and task forces.
Physical Demands: Position requires the operation of one or more of the following on a regular basis: telephone or other communication devices; personal computer, audio-visual equipment, copy machine, calculator, and any other specialized equipment typically used in an office setting. Lifting or moving up to 20 pounds occasionally.
Position requires sitting for extended periods, standing, walking, bending, stooping, pushing, pulling, lifting, climbing and reaching; normal finger dexterity, visual acuity (with or without corrective lenses), hearing, talking and grasping are required to perform essential functions.
