Description
The Senior School Board Clerk is responsible for providing high-level administrative support to the School Board, ensuring the efficient management of board activities, meetings, and official records. This role includes supervisory responsibilities over support staff within the School Board Office, ensuring that all tasks are completed efficiently and in compliance with legal requirements. The Senior Clerk also acts as a key liaison between the School Board, school division staff, and the public.
This position reports to the Superintendent/School Board Chair.
Qualifications and Skills
- Education: A Bachelor’s degree in business, public or educational administration.
- Experience: A minimum of 5 years of administrative support experience, with at least 2 years in a supervisory capacity. Prior experience supporting a school board or governmental body is preferred.
- Skills:
- Strong knowledge of office administration, clerical procedures, and records management.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and BoardDocs or similar board management software.
- Strong organizational and time management abilities.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Leadership and supervisory skills, including task delegation and staff development.

Essential Duties:
Administrative Support to the School Board:
- Prepare and distribute agendas, minutes, and supporting materials for School Board meetings.
- Attend all School Board meetings (including regular, special, and closed sessions) and accurately record proceedings.
- Manage the BoardDocs system, ensuring timely posting of meeting documents and agendas.
- Ensure compliance with legal requirements regarding public notices, records retention, and access to School Board documents.
- Draft and circulate official correspondence on behalf of the School Board and maintain official School Board records.
Supervisory Duties:
- Supervise administrative staff within the School Board Office, assigning tasks, managing workloads, and ensuring timely completion of duties.
- Provide training, guidance, and mentorship to support staff in administrative and clerical duties.
- Conduct performance evaluations and support professional development opportunities for staff.
- Ensure the smooth operation of the School Board Office by overseeing day-to-day administrative functions.
Liaison Responsibilities:
- Serve as a primary point of contact between the School Board, Superintendent, school division staff, and the community.
- Handle inquiries and communications directed to the School Board, ensuring timely responses and resolution of issues.
- Coordinate communication and collaboration between School Board members and other departments or external entities.
Meeting and Event Coordination:
- Organize and manage logistics for School Board meetings, hearings, and retreats.
- Coordinate special events for the School Board, including recognition ceremonies, press conferences, and public forums.
- Schedule and arrange for travel, accommodations, and other needs for School Board members.
Record Keeping and Compliance:
- Maintain and update official School Board records, including minutes, resolutions, policies, and legal documents.
- Ensure compliance with all applicable laws and regulations concerning public records, including FOIA requests and records retention policies.
- Assist in preparing reports and documentation required by state or federal agencies.
Budget and Financial Oversight:
- Assist with the preparation and monitoring of the School Board’s budget.
- Oversee purchasing and financial transactions related to the School Board Office, including managing contracts and agreements.
Clearances
- Criminal Justice Fingerprint/Background Clearance.
- Tuberculosis Skin Test.
Public Health Compliance
- Must follow safety and health protocols.
