Central Oregon Pediatric Associates (COPA) of Bend, Oregon, the largest pediatric practice in the region, is hiring a full-time Staff Accountant. This position's schedule is Monday - Friday, 8:00am - 5:00pm, hybrid eligible.
At COPA, the Staff Accountant supports COPA's mission and dedication to serving the children and families of Central Oregon with excellent, comprehensive, and compassionate medical care. The Staff Accountant is responsible for maintaining financial records, overseeing and supporting Accounts Payable, processing payroll, overseeing compliance with company policies, assisting with month-end and year-end closing procedures, and supporting the accounting team with various financial reporting activities.
The role of the Staff Accountant will include but is not limited to the following duties:
Maintains an in-depth knowledge of principles, practices, standards, and techniques and demonstrates knowledge in accordance with COPA policies and procedures within pertinent laws and regulations in the following areas:
Accounting & Financial Records:
- Prepare and maintain accurate financial records, including general ledger entries, accounts payable, and accounts receivable.
- Manage digital record keeping of financial records.
- Manage and reconcile weekly cash and check deposits.
- Assist in the preparation of monthly, quarterly, and annual financial statements.
- Perform monthly account reconciliations and investigate discrepancies.
- Assist with month-end and year-end close processes, including journal entries and financial analysis.
- Provide support in ad-hoc financial reporting as requested by management.
Payroll & Compliance:
- Process and review semi-monthly payrolls for all employees, ensuring accuracy in pay rates, bonuses, deductions, and tax withholdings.
- Maintain and update employee payroll records, including tax forms, direct deposit information, and benefits deductions.
- Ensure compliance with federal, state, and local payroll tax regulations.
- Reconcile payroll discrepancies and resolve issues promptly.
- Respond to employee inquiries regarding payroll, including deductions, tax issues, and wage discrepancies.
Payroll System & Reporting:
- Support the implementation and transition of payroll software, including troubleshooting and optimizing payroll processes.
- Generate payroll reports for management, including labor cost analysis and payroll summaries.
- Collaborate with the HR department to track employee benefits, personnel changes, deductions, and overtime.
Collaboration & Support:
- Work closely with the accounting team to ensure accurate and timely financial reporting.
- Assist with audits and tax returns by preparing and providing payroll and financial documentation and reports as needed.
- Maintain and enforce accounting policies and procedures to ensure compliance with relevant regulations.
Qualifications
Education and Certification:
- Bachelor’s degree in Accounting, Finance, or a related field.
Experience:
- 2 years of experience in accounting or finance.
- 2 years of experience in payroll processing; multi-state payroll experience preferred.
- Proficiency with payroll software (e.g., ADP, Paylocity, or similar) and accounting software (Sage Intacct, QuickBooks, or similar).
- Strong knowledge of accounting principles, practices, payroll laws, tax regulations, and financial reporting.
- Strong attention to detail, organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills.
- Ability to handle sensitive and confidential information with integrity.
- Knowledge of relevant tax regulations and accounting standards is a plus.
Physical Requirements:
- Use of clear and audible speaking voice and the ability to hear normal speech level in person, over the telephone or through use of other required technology. Sitting or standing for long periods of time. Frequent repetitive motion includes computer keyboard use, reaching with hands and arms, and walking. Occasional lifting and or moving up to 30 pounds and on rare occasions up to 50 pounds. Specific vision abilities required include viewing computer monitor for long periods of time, close vision, distance vision, color vision, peripheral vision, and depth perception.
- Must be able to wear appropriate personal protective equipment (PPE) as required.
Working Conditions:
- Position may qualify to be located local-hybrid to include periodic on-site meetings and shifts in COPA clinics, business office or community partners.
- Standard medical office; may be eligible for combination of on-site and home office.
- Work inside in a general medical office setting with ergonomically configured equipment.
- The employee is subject to hazards including a variety of physical conditions such as proximity to mechanical parts and chemicals including odors.
- Travel between COPA clinics, business office and community partners as required.
