Description
General Duties and Responsibilities
- Record requests – make sure requests are compliant with HIPAA
- Send requested records – ensure only pertinent information is being sent
- Write a denial letter if a request is not compliant with HIPAA/request more information
- Request medical records by researching all information of the particular procedure
- Send request for patient to sign Release of Information form electronically and help patient with
- additional information on form. Make sure form is fully completed.
- Pre-fill verbal Release of Information for patients who do not have email access
- Comply with audits (Medicare Risk Adjustment). Ensure that every note is signed electronically
- Schedule all referrals and outside procedures
- Determine if scheduled procedure needs an authorization. Send information to authorization
- coordinator to get.
- Pre-call patient to get best time/location/day. Find location close to patient in-network with
- their insurance.
- Notify patient of appointment by texting, emailing and/or calling. Follow up if needed to make
- sure patient received the information.
- Reschedule appointments as needed
- Organize transportation as needed for the patient
- Request records from previous facilities in cases of a denial
- Sort and distribute all incoming mail. Weekly trip to the post office is typical
- Scan in mailed records / all mailed documents
- Check all voicemail and email messages and respond within 24 hours
- Help out front desk in clinic and other staff as needed
- Coordinate with HR and clinical staff to ensure compliance and efficiency
Qualifications
- Knowledge of basic computer skills, Excel, Word and how to use Electronic Medical Records
- Experience with patient centered care
- Punctuality and impeccable attendance
- Strong communication skills with both professionals and patients from all demographics
- Non-judgmental approach to patient care
- Technical skills with required office equipment
- Patience and great attention to detail
- Completely understand the healthcare privacy laws as outlined in HIPAA
- LGBTQIA cultural competency
- Ability to work collaboratively in team-based care
- Ability to adapt to a work environment that is constantly changing and not always structured
- Ability to work in a fast paced and, at times, excited atmosphere
- Maintain a professional attitude and demeanor
