What are the responsibilities and job description for the Specialist III Commercial Documentation Center position at Central Pacific Bank?
Position Function:
This position prepares business purpose loan documents within LaserPro in accordance with established bank guidelines while ensuring the highest level of accuracy & quality in a timely manner. These internally prepared loan documents involve collateral and commercial loans for the branches, business banking and commercial lending units which involve perfecting the bank’s lien position, utilizing established bank systems, and capturing all pertinent information into the loan documents.

Primary Accountabilities:
- Prepares and/or facilitates quality document preparation in a timely and accurate manner as set forth in the Credit Approval Document (CAM, Modification Agreement, etc.). Becomes a proficient producer of quality business purpose documents in the loan documentation software system. Proactively collaborates with commercial loan specialists and relationship officers, credit administrators and outside counsel (when applicable) to identify requirements related to the documentation requests, including anything that may preclude or complicate loan closing, funding or recording, and agree on appropriate resolution to ensure quick response for the bank customer. Demonstrates exceptional knowledge of the bank’s credit policies, documentation standards, regulatory practices and corporate Compliance requirements.
- Prepares instructions on disbursing loan proceeds and fee reconciliation in accordance with the terms set forth in the Credit Approval Document and/or lending unit’s instructions.
- Ensures that any follow-up items are approved by an appropriate authority and added as a tickler reminders for follow-up by the lending unit. Responsible for monitoring follow-up task reports weekly. Ensures follow-up tasks have comments, dates and are tracked and resolved with appropriate lending units. Proactively works with the commercial loan specialists to resolve any post-documentation follow-up items.
- Responsible for providing back-up duties to the department’s post-closing process as follows:
- i) organize, print and prepare documentation files for all incoming loan doc requests;
- ii) issue loan numbers, order flood determinations and provide letter to lending unit if in flood zone;
- iii) manage receipt of original final loan documents process for loans closed both in nCino and outside of nCino.
- Iv) performs review to ensure core documents are appropriately signed, dated and then submit to imaging;
- v) tracks trailing items and resolves post-closing pending items with lending units, and
- vi) completes initial setup for CGL and BPP insurance certificates for all new loan closings on the loan system.
- Responsible for providing back-up duties to the department’s commercial and standby letter of credit process as follows:
- Prepare and/or facilitate preparation of letters of credit in a timely and accurate manner for branches and commercial lending units of the bank. Duties include logging in requests into the letter of credit database, running OFAC verifications, preparing the original letter of credit loan documents and mailing out to customers. Proactively work with the relationship officer to identify requirements related to the documentation request, including anything that may preclude loan closing, and agree on appropriate resolution to ensure quick response for the customer.

Education:
Specialist I
- High School Diploma or GED equivalent required.
Specialist II
- High School Diploma or GED equivalent required.
Specialist III
- High School Diploma or GED equivalent required.
Experience:
Specialist I
- 1 years of experience in commercial real estate documentation and reading legal documents required (A bachelor’s degree can substitute for 2 years of work experience.)
Specialist II
- 2 years of experience in commercial real estate documentation and reading legal documents required (A bachelor’s degree can substitute for 2 years of work experience.)
Specialist III
- 3 years of experience in commercial real estate documentation and reading legal documents required (A bachelor’s degree can substitute for 2 years of work experience.)
Physical Requirements & Working Conditions:
- Must be able to perform light physical work and to move or lift items including but not limited to boxes, files and papers up to 20 pounds unless otherwise as indicated.
- Must be able to operate and proficiently use standard office equipment, including phone, copier, personal computer and/or other work related mechanical or electronic devices and applications.
- Must be able to clearly communicate verbally and in writing with all internal and external customers. Must also be able to hear sufficiently to engage in daily discussions and interactions.
- Must be able to read and understand bank-related documents.
- Must be able to work in a conventional office setting, involving sitting at a desk or workstation for long periods of time. Must also be able to adapt to different work environments as needed to perform the job.
