Job Summary
Supports account managers/ sales team to provide top-level assistance by tracking, investigating, and reporting sales information and resolving problems throughout the order process. Sales manager and account managers provide general instructions and work priorities. Completed work may be reviewed by supervisor for accuracy. Acts as a liaison between the customer, sales staff, and production in selling screen printed or embroidered items, promotional items, and more to customers that meet their needs and desires by providing superior customer service.
Performance Dimensions and Tasks Time Spent (%)
1. Customer Service 40%
Answer customer questions, provide the caller with basic information, and direct them to the appropriate staff member when necessary. Provide price quotes to customers. Ensure customer’s orders are scheduled and completed by the time needed. Deal with customer complaints. Handle external communications by phone, in person, and through email to effectively get their orders into our system in a time frame that meets the customer’s needs. Assist customers when picking up their orders or deliver orders to customers.
2. Administrative Duties 55%
Process, review, and submit orders. Organize and maintain files and orders. Gather and enter information for account managers to use for their orders. Answer phones and take messages. Write up orders neatly and legibly. Ensure accuracy of orders before submission. Enter data and orders into computer programs like QuickBooks, Excel, etc. Submit art requests for account managers. Schedule orders for production. Resolve order problems by investigating data and history; identify alternative means for orders; notify account managers and customers. Maintain inventory for orders. Prepare outgoing packages and mail. Assist in building webstores.
Cleanup 5%
Keep work area clean and organized. Break down empty and unused boxes. Sweep floors. Pick up trash and take trash to dumpster. In charge of overall neatness of the sales department.

Job Qualifications
1. Education: High school education or equivalent (GED)
2. Experience: Prefer either sales experience or secretarial experience
3. Skills: Communication skills- both verbal and written- to have the ability to convey information to
sales staff, coworkers in other departments, and customers through email, by telephone, or in person
Strong organizational skills
Resolving customer complaints or problems
Basic computer skills with Microsoft Office, QuickBooks, etc.
Time-management skills to work on multiple assignments at the same time, each with a different deadline
Ambitious and driven personality to stay focused on assigned tasks
Ability to work well under pressure
Problem solving skills
Being accurate, meticulous, and having an eye for details
Job Context: Indoors, office, business casual clothes, no environmental or job hazards. Physical demands include carrying boxes up to 50 pounds and traveling up and down flights of stairs. Located upstairs.
