Job Summary
We are seeking a dedicated and organized Administrative Assistant to support our team in daily operations. The ideal candidate will possess strong communication skills and a proactive approach to problem-solving. This role requires proficiency in managing phone systems, data entry, and providing exceptional customer service. The Administrative Assistant will serve as the first point of contact for clients and visitors, ensuring a welcoming environment while efficiently handling administrative tasks.
Responsibilities
Administrative Support
- Provide direct administrative assistance to the Executive Director, Connections Director, and UA Wesley Director.
- Maintain calendars, schedule meetings, coordinate travel, and manage appointments with accuracy and discretion.
- Draft and edit emails, memos, presentations, and internal communications.
- Handle incoming communication—emails, phone calls, and mail—with professionalism and care.
Event Coordination
- Schedule and coordinate event requests.
- Take clear and concise meeting notes and distribute them in a timely manner.
Office Operations
- Keep common office areas clean, organized, and well-stocked.
- Order supplies and liaise with vendors and service providers as needed.
- Help create an environment that supports productivity and teamwork.
Event Planning Support
- Assist in organizing events, workshops, and conferences hosted by Central UMC and its partner ministries.
- Coordinate venue bookings, catering, registration, and other logistics.
- Provide on-site support to ensure events run smoothly and reflect our spirit of welcome and excellence.
Project Support
- Assist with special projects and initiatives as directed.
Qualifications
Education & Experience: Four years of experience in office management.
Computer Skills: Knowledge of and experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), digital file management, email and calendar management, basic web design and graphics software, and proficiency with internal databases. Additionally, strong typing speed and data entry skills are essential. Must be comfortable with both Windows and Apple operating systems.
Language Skills: Superior customer service, including the ability to interact with the congregation and staff in non-technical, clear terms. Excellent written and verbal communication skills and organizational skills. Efficient and detail-oriented with the ability to meet deadlines. Ability to adapt to changes in technology.
