PURPOSE
As an Administrative Assistant at Central Valley Ag, you will be responsible for assisting in the management of our accounts receivable portfolio and ensuring timely collection on accounts. This position also oversees the operations of the front desk.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Project a professional positive attitude and image to customers, employees, and business partners.
Handle incoming phone calls, walk-in traffic and direct both to appropriate personnel.
Develop and maintain an understanding of company products and services.
Open, sort, and distribute all incoming correspondence.
Assist in resolving customer complaints quickly and fairly in accordance with company policies.
Accurately apply payments and product contracts to customers’ accounts.
Assist in composing internal company announcements and communications.
Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing orders for supplies; verifying receipt of supplies.
Manage scheduling & itinerary of all external visitors.
Assist in planning events, meals, logistics and hotel arrangements.
Assists in managing vehicle pool maintenance and scheduling vehicle check-out.
Performs any combination of routine accounts receivable duties.
Work with and process confidential information appropriately.
Perform special projects as assigned.
Other duties as assigned.
SUPERVISOR RESPONSIBILITIES
None.
REQUIRED SKILLS AND KNOWLEDGE
Associate degree in Accounting/Finance or two to four years of related experience.
Ability to multi-task several assignments simultaneously and establish job priorities.
Employ fundamental accounting skills: general ledger, accounts payable, accounts receivable and account reconciliations.
To consistently meet internal and external deadlines.
Strong competencies in computer applications including Microsoft products.
Manages a variety of responsibilities in a timely and efficient manner.
Follows through with commitments and can be counted on to meet deadlines.
Always maintain a positive attitude.
Actively looks for ways to help customers.
Works well with others to achieve a common goal.
Completes work in a timely manner with a high level of accuracy.
