Overview
We are seeking a dedicated and organized Office Administrator to join our team. The ideal candidate will play a vital role in ensuring the smooth operation of our office environment. This position requires a blend of administrative and clerical skills, with a focus on schedule management and effective communication. The Office Administrator will support various functions within the office.
Duties
- Manage daily office operations, ensuring a welcoming and efficient environment.
- Collaborate with team members to enhance office procedures and improve workflow.
- Responsible for managing day-to-day administrative tasks, including organizing files, answering phone calls, and managing office supplies.
- Retrieves information as requested from the office teams as well as project managers as needed.
- Responds to and resolves administrative inquiries and questions.
- Assists with the onboarding process of new hires and verify for accuracy. Assists with the offboarding of employees.
- Assist with weekly payroll by verifying the accuracy of employee timecards.
- Manage emails, packages, mail distribution, phone calls and other forms of correspondence.
- Track and replace office supplies as necessary to avoid interruptions in standard front office procedures.
- Maintains records, documentation, and files in an organized manner.
- Reports directly to the Operations Manager.
- Performs other related duties as assigned by management team.
Requirements
- Proven experience in an administrative or clerical role.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to prioritize tasks
- Ability to function well in a high-paced and at times stressful environment.
- Basic understanding of how to operate standard business equipment.
- Proficient with Microsoft Office Suite or related software.
- Must be Bilingual
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
