Records Clerk
General Definition of Work:
Performs routine clerical work requiring a qualified typist with emphasis of statistical typing.
Chain of Command:
Records is performed under the general supervision of the Chief of Inmate Services; reports administratively to the Chief of Inmate Services.
Typical Tasks:
- Works independently in the compilation, preservation and review of inmate records;
- Reviews and checks records, forms and other documents for accuracy, completeness, and conformance to applicable rules and regulations; knowledge of Virginia Legal Documents
- Posts a wide assortment of information to records; including Trusty Awards Reports
- Collects information from a variety of sources and files data for special and periodic reports;
- Communicates on daily basis with local Court officials on preparation of Court dockets; prepares Video Arraignment Calendars
- Satisfies public inquiries regarding criminal record information within the scope of Jail policies and procedures;
- Assists in the set-up and supervision of filing systems; scans inmate records;
- Assists in development of office procedures;
- Operates a variety of office machines;
- Any other duties as may be assigned by higher authority
- Serve as Institutional Duty Records Clerk on a rotational basis
Knowledge, Skills and Abilities:
Thorough knowledge of standard office practices and procedures, equipment and secretarial techniques; thorough knowledge of business English, spelling, and arithmetic; ability to interpret and apply policies and procedures; ability to type; ability to establish and maintain effective working relationships with others; ability to work independently in the absence of specific instruction; ability to meet the public effectively.
Minimum Education and Experience:
Must be twenty-one (21) years old; possession of a high school diploma or equivalent. Basic computer and word processing skills.
