Job Description
Under direction from the Dean of Student Success and Retention, the Administrative Assistant performs a variety of complex tasks, which include but are not limited to the following: establish office procedures and standards, establish priorities and deadlines, coordinate office operations, word processing, spreadsheet and database computer functions, data entry of course information into the PeopleSoft/ctcLink system, meeting scheduling, preparation of confidential correspondence, department budget status monitoring and reconciliation, travel arrangements, and other related duties as assigned.
Duties and Responsibilities
High school graduation or GED.
AND
Three years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
OR
Formal education will substitute year-for-year for experience.
Preferred Qualifications
There is one 40 hours per week, 12-month position. Classified employees are represented by the Washington State Federation of State Employees (WFSE). The state of Washington provides a comprehensive benefits package for state employees.

Job Description

Duties and Responsibilities
- Provides a variety of high-level administrative support to the Dean of Student Success and Retention. Serves as a liaison between staff, faculty, students, and the public.
- Exercises sound judgment and problem-solving skills in decision-making and promotes positive working relationships with the dean, peers, faculty, and administrators.
- Monitors, coordinates, and ensures completion of a variety of activities and projects on behalf of the dean.
- Prepares reports, budget, contract, or grant proposals.
- Works with the dean, department chairs, and faculty to manage and coordinate the development of course schedules for each quarter.
- Participates in budget preparation and management, monitors budget status and expenditures.
- Assists in developing and applying division standards and procedures to ensure adherence to policies regarding budgeting; purchasing; travel and expense reporting; contract and grant administration; and other processes, as needed.
- Coordinates personnel tasks such as recruitment, selection, appointment, onboarding, and evaluations.
- Establishes procedures and interprets college policies and procedures.
- Coordinates with other college staff on administrative practices and procedures.
- Prioritizes and assures that all follow-up communication is managed sensitively, and that confidentiality is maintained for the purpose of maintaining integrity and trust.
- Provides direct secretarial support to the dean and coordinates office operations; maintains calendars; establishes and cancels appointments, meetings, and conferences; resolves scheduling conflicts; and establishes priorities.
- Other duties as assigned.

- Knowledge of the college's classes and programs, particularly those in the Arts and Sciences Division.
