Job Title: Staff Assistant to Executive Director 

Location: Centre LGBT State College, PA

Reports To: Executive Director

Employment Type: 20-30 hours/week, FIXED & FLEXIBLE HOURS REQUIRED

Salary: $15/hour

Position Overview:

 

The Staff Assistant plays a pivotal role in ensuring the smooth and efficient operation of the executive office. This position requires a highly organized, detail-oriented individual who is proactive, professional, and capable of handling multiple tasks. The ideal candidate will be committed to the mission of Centre LGBT and demonstrate a strong understanding of justice, equity, diversity, and inclusion principles.Own transportation is required and ability to travel to events and local areas.

 

Key Responsibilities:

 

Staff Support:

 

Serve as a primary point of contact for internal and external communications on behalf of the

Executive Director.

 

Coordinating with Executive Director’s schedule to ensure adequate coverage occurs at the

Center.

 

Prepare, edit, and format documents, reports, presentations, and correspondence as requested.

Assist in the preparation and organization of meetings, events, and use of space within the center.

 

Handle confidential and sensitive information with discretion and professionalism.

 

Maintaining positive relationships with community members to include local businesses, places of faith, and other organizations.

 

Office Management:

 

Oversee general office operations, including supply management, answering telephone, greeting visitors, offering resources, and handling donations to the center (clothing for Gender Affirming Closet and Books)

 

Maintain office records, including files, contact lists, and databases, ensuring accuracy and

Accessibility.

 

Represent the organization at community events (tabling events) answering questions, providing resources, and more.

 

Communication and Coordination:

 

Act as a liaison between the Executive Director and visitors to the center.

 

Draft and manage communications, including emails, letters, and announcements, ensuring

alignment with Centre LGBT ’s mission and values.

 

Support the Executive Director in special projects, events, and initiatives, providing research, analysis, and administrative support as needed.

 

Qualifications:

 

Education & Experience:

 

Associate’s degree or equivalent experience in a related field. (Experience is considered) 

 

Minimum of 1 year of experience in an staff support role, preferably in a non-profit or

mission-driven organization.

 

Skills & Competencies:

 

Strong organizational skills with the ability to prioritize tasks and manage time effectively.

Excellent written and verbal communication skills.

 

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Canva, Hootsuite) and familiarity with project

management and communication tools.

 

Ability to work independently with minimal supervision and as part of a team.

 

High level of integrity and ability to handle confidential information.

 

Commitment to the mission and values of Centre LGBT , ability to represent organization in a

professional and focused manner.
