POSITION DESCRIPTION
The Executive Assistant reports to the Executive Director. The information handled is sensitive and requires confidentiality and discretion at the highest level. The Executive Assistant will have continuous communication with executives and management at all levels, including partners in private/public sectors, community organizations and stakeholders.
This role supports the CEO in managing day-to-day workload and responding to internal and external communications. Duties include: meeting logistics and follow up, managing multiple calendars within the executive team, organizing travel, facilitating collaborations with community partners, serving as the liaison with the board of directors, and coordinating other special projects as assigned. This position also supervises the Information and Referral Lead.
To be successful in this role, you should be well-organized, have excellent time management skills and be able to work independently without supervision.
ESSENTIAL RESPONSIBILITIES
- Act as the point of contact for the CEO.
- Represent the CEO at external meetings as needed.
- Support Leadership Team meetings and communication as needed.
- Manage information flow in a timely and accurate manner.
- Manage executive emails, calendars and meeting schedules.
- Manage board of directors communication and meeting logistics.
- Make travel and accommodation arrangements.
- Research and prepare documents for review and presentation by executive staff.
- Format information for internal and external communication – emails, presentations, reports, etc.
- Use various software, including Microsoft and Google Suites.
- Manage emails and other correspondence.
- Participate in organizational committee(s).
- Supervise Information and Referral Lead:
- Performance Management:
- Set performance goals and objectives for I&R Lead.
- Conduct regular performance evaluations and provide constructive feedback.
- Identify training and development needs and coordinate appropriate programs.
- Address performance issues and implement corrective actions when necessary.
- On-site presence required [5] days per week at the discretion of the supervisor.
- Manage special projects and perform other duties as assigned.

PHYSICAL DEMANDS/WORK ENVIRONMENT
This position is approximately 70% in an office environment and 30% in community locations or other Centro locations. Working conditions are standard for an office environment. While performing the duties of this job, the employee will:
- Engage in regular communication in person as well as through electronic means
- Routinely use computer laptops, tablets, desk phones, photocopiers and monitors, including digital screens
- Ability to sit and stand for long periods
- Occasionally move up to 30 pounds when setting up for tabling events
