What are the responsibilities and job description for the Executive Assistant position at Centro Las Americas?
Position Summary:
The Executive Assistant works directly for the President & CEO. This person will support the President and CEO in various administrative capacities, including, but not limited to: calendar management, travel arrangements, email communications, event planning and scheduling appointments. Additionally, this person will provide administrative support to the Vice Presidents on an as-needed basis.
Duties & Responsibilities:
- Provides administrative support to President & CEO, including but not limited to:
- Maintain and update calendar in Outlook
- Assist in preparation and planning for CLA Board of Directors meetings, including transcribing meeting minutes
- Email communications/memos
- Draft/transcribe correspondence
- Maintain and update contacts
- Photocopy documents
- Assists with event planning for both onsite and off-site meetings and events
- Transcribes documents
- Attends events with or on behalf of President & CEO
- Any and all other duties as assigned by immediate supervisor.
Qualifications & Skills:
- Excellent written and verbal communication skills
- Attention to detail
- Strong organizational skills
- Can work independently, with little supervision or collaboratively with all levels of the organization
- Able to multi-task and meet deadlines
- Proficiency with Microsoft Office
- Bilingual (English-Spanish) preferred
Education & Experience:
- Associate’s Degree preferred but will consider someone with extensive related experience.
- Minimum of two years of experience in office administration and/or in an executive administrative support capacity, preferably in Human Services
Physical Demands:
- Ability to be physically mobile (stand, walk, reach, climb, bend) and also the ability to sit for
- Prolonged periods throughout the day/work hours
- Manual dexterity sufficient to operate a keyboard, copier, telephone, and the ability to write/type
- Must be able to lift and/or move up to 40 pounds occasionally
- Able to drive to and from appointments, meetings, and conferences within the region
