SUMMARY
Responsible for assisting the Marketing Department with all aspects of the daily operation of Marketing, and other departments as needed.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
- Provides clerical and administrative support for multiple departments, including typing, computer input, filing, answering telephones, printing reports, department records/logs, and payroll logs.
- Maintains complete knowledge of and complies with all departmental policies/service procedures/standards.
- Maintains knowledge of all resort services/features and hours of operation.
- Maintains complete knowledge in the use of all office equipment, computer and manual systems.
- Coordinates and negotiates with vendors to order supplies with Directors’ final approval and stocks supplies upon receipt.
- Handles inquiry calls. Records legible messages and ensure proper distribution of said messages.
- Makes calls to specific individuals as requested by the Director of Marketing.
- Greets all individuals arriving at the office courteously, assists with their needs, and directs them to the appropriate party if necessary.
- Retrieves and distributes departmental mail.
- Maintains confidentiality and security of departmental information, correspondence, reports and files.
- Editing and emailing Leadership schedules.
- Processing invoices for payment.
- Creating overnight reservations and processing arrival forms for VIP guests.
- Documenting and mailing Win/ Loss statements.
- All other duties as assigned.
REPORTING LINE
You will report directly to the Director of Marketing.
QUALIFICATION REQUIREMENTS
- Must have excellent communication skills, be polite, and present a neat appearance at all times.
- Must be computer-literate, with proficiency in Microsoft Word and Excel, ability to take accurate minutes of Operations Committee meetings required.
- The ability to work with others as a team in an efficient manner.
- The ability to apply common sense reasoning to variety of situations
- Proven experience providing high level of guest service
- The ability to add and subtract two-digit numbers and to multiply and divide
- The ability to read, write, comprehend simple instructions, short correspondence, and memos in English
- The availability to work all shifts.
- The ability to work in a fast–paced environment and stressful situations.
- Must be at least 21 years old.
- Must be able to pass a background investigation and obtain and maintain all work cards as required by the company.
- The ability to verify the right to work in the United States.
EDUCATIONAL AND/OR EXPERIENCE
High School Diploma or equivalent. A minimum of two years of related administrative experience preferred.
PHYSICAL DEMANDS
Ability to stand, walk, and move throughout the property for prolonged periods of time. Ability to push, pull, bend, reach, squat, kneel, crawl, twist, sit, climb, balance, carry and lift to 25 lbs. Constant use of hearing, speech, vision (including distinguishing between shades of color), radios, and tools or equipment requiring a high degree of dexterity.
