What You’ll Do
The Land Community Association Manager supports the Legal Team, Land Teams and Sales & Marketing. Responsibilities include HOA oversight, to include but not limited to, HOA Abstracts, working with existing HOA management companies, setting up new HOA’s, establishing HOA Boards when needed, transition of HOA Boards, Assessment invoices, etc., until closeout. Hybrid position 3 days in the office, 2 days remote.

What You’ll Do
The Land Community Association Manager supports the Legal Team, Land Teams and Sales & Marketing. Responsibilities include HOA oversight, to include but not limited to, HOA Abstracts, working with existing HOA management companies, setting up new HOA’s, establishing HOA Boards when needed, transition of HOA Boards, Assessment invoices, etc., until closeout. Your Key Responsibilities Include
HOA
- Oversee the establishment of each Homeowners Association (HOA) and ensure compliance with regulations when CMP is required to form.
- Communicate with Management Companies for existing HOA’s.
- Manage the creation of Covenants, Conditions, and Restrictions (CCR), Bylaws, and Design Guidelines for each community by working with the Legal Team. Draft Rules and Regs when required.
- Contract and supervise management companies for communities where CMP will be the Board.
- Review and organize HOA financial documents and process HOA Assessment invoices.
- Ensure the HOA Abstract Tracker is current and accurate, and update folders for each community.
- Ensure the HOA Assessment Tracker is current and accurate and notify Sales and Land Team of any updates.
- Draft and process check requests and cashier’s check requests.
- Draft and process wire requests.
- Set up new vendors in AP.
- Draft Community Addendums when new project is acquired. Legal Team will review then send to Sales Support to upload. Keep addendums updated with any new information.
- Prepare HOA Abstracts once an LOI is executed and distribute to the teams. Keep updated until close out of community or deal is dead.
- Draft HOA Disclosures, where applicable, for Communities with inactive HOA’s.
- Attend HOA meetings and events when required.
- Manage Architectural Control Committee (ACC) requests. Be in the loop between the management company and the President of the Board on CMP Board run communities.
- Advise on the need for amendments to CCR/Bylaws and ensure proper submission of all properties to each HOA.
- Facilitate HOA turnovers and perform due diligence for potential acquisitions.
- Facilitate the bonds/sureties process by collecting necessary information and signatures to request bonds, receive and obtain signatures on bonds, file scanned and executed bonds, and ensure delivery of the originals to the Land Development Manager or designated recipient.
- Distribute quarterly bond reports, collect updates, and make updates to the Surety Platform.
- Work with outside attorneys to record various HOA governing documents, legal documents, easements, etc.
- Coordinate signatures from the Corporate VP of Land Acquisition.
- Receive mail for Legal Department. Open, scan, distribute, file, etc.
- Perform other duties as needed or assigned.
- Ensure the Business License Tracker is current and accurate. Receive and process business license renewal notices. Assist the Land Team’s requests for new Business licenses. Distribute renewed or new license to the Team. Keep folders updated for each municipality to include a copy of the license. Communicate with the Corporate Tax Department when new licenses are required as some are Business Tax Receipts.
- Ensure the GC & RE Tracker is current and accurate. Keep focused on expiration dates and ensure renewal prior to expiration. Distribute renewed or new licenses to the Team. Keep folders updated for each municipality to include a copy of the license.
- Assist team members applying for new General Contractor or Broker’s licenses. Gather the information needed for the application, order study books, exam prep, etc.
- Update tracker with any changes/additions to CCS and CMP entities.
- Update information with the Secretary of State, AZ eCorp, Sunbiz, etc., when necessary.
- Comfortable speaking publicly, with excellent verbal and written communication abilities.
- Strong computer skills in navigating and finding information effectively on the internet.
- Exceptional organizational and time management skills with attention to detail.
- Proficient in Microsoft Project, Word, Excel, and Access.
- A Bachelor's degree in a related field or an equivalent combination of education and experience.
- At least 3 years of experience in Real Estate Development project design, entitlement/permit processing, final platting, and project management.
