Position Overview:
The Order Entry and Proofing Specialist is responsible for accurately entering, proofing, and processing customer orders in the system. This role ensures that orders are correctly prepared for production, shipment, and invoicing while maintaining high standards of accuracy and communication with internal teams.
Key Responsibilities:
- Enter complex orders into SAP, ensuring that all required data is accurate and up-to-date.
- Proof customer orders to ensure accuracy in product details, pricing, and customer information, making necessary corrections in the system.
- Verify that all aspects of the purchase order, including pricing during promotions and sales periods, match what is in the system.
- Code orders for production, ensuring seamless communication between departments.
- Collaborate with Customer Service Representatives and Order Entry teams to resolve order discrepancies and ensure timely processing.
- Perform various administrative tasks related to customer orders, including data entry and documentation management.
- Develop, document, and implement improvements to order processing procedures as needed.
- Ensure that all safety policies and procedures are followed in the workplace.
- Perform other duties as assigned.
Qualifications:
- High school diploma or GED required.
- 2 years of experience in order entry, proofing, or a related office role.
- Proficiency in SAP and Microsoft Office (Word, Excel, Outlook); experience with Lotus Notes or similar communication systems is preferred.
- Strong attention to detail, with the ability to identify and correct discrepancies.
- Excellent verbal and written communication skills, with the ability to work efficiently in a team.
- Ability to multi-task, prioritize tasks, and work efficiently in a fast-paced environment.
- Experience working in customer service or order fulfillment environments is highly desirable.
