Job Title: Administrative Assistant
SUMMARY
To conduct all office functions required by the program.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Typing of memos, correspondence, reports and other documents as assigned.
· Prepare monthly consumer attendance and submit to Finance Department
· Duplicate and file as needed.
· Assist in the purchasing process for supplies, materials, equipment.
a. Negotiate and process purchase orders.
b. Assist in coordinating with the Accounting Department regarding questions and
problems related to purchases and receipt of equipment and materials and the
Personnel Director regarding personnel issues.
· Receive phone calls and channel to the appropriate department and staff.
· Maintain strict confidentiality of all administrative information and records.
· Refer staff to Director regarding their questions or concerns about salaries, personnel matters and conditions of employment.
· Pick up and distribute payroll checks.
· Pick up and distribute mail to administrative office.
· Summarize all Non-Reportable and reportable Incidents for review at Quarterly and Annual Incident Review Committee Meeting.
· Demonstrate ability to follow directions, use good judgment and complete assignments within time frames.
· Serve as back-up to Receptionist.
JOB REQUIREMENTS
· Excellent verbal and written communication skills.
· Good organizational skills.
· Knowledge of office procedures.
· Personal computer and software skills including word processing, database and presentation software programs.
· Proficient with Microsoft Office
· Team player with the ability to develop strong relationships with employees across all programs.
· Attention to detail
· Billing experience
QUALIFICATIONS
- EDUCATION
Bachelors Degree
- EXPERIENCE
Two (2) years of relevant experience. Knowledge of Word and Excel is required.
- Licenses/Certification
- LANGUAGE SKILLS Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to employees’ questions.
- Mathematical Skills Ability to add, subtract, multiply and divide units of measure, using whole numbers, common fractions and decimals.
- Licenses/Certification
Valid driver’s license

Pay: $21.00 - $23.00 per hour
