Nature of Work

Provide administrative support services.


Essential Duties And Responsibilities

  • Place outgoing calls, answer incoming calls, forward calls to party, take messages, when necessary, notify (by phone) employees that visitors have arrived.
  • Provide prompt and courteous service: both on the phone and in person.
  • Maintain office security by following safety procedures and controlling access.
  • Provide basic and accurate information in-person and via phone/email.
  • Maintain information regarding which employees are in or out of the office, as well as phone numbers where they can be reached when out of town.
  • Receive, sort, and distribute mail/deliveries, as well as prepare outgoing mail/shipments.
  • Maintain files on all delivery invoices.
  • Prepare conference spaces for scheduled meetings, including ordering and setting up food, drinks, etc. as necessary.
  • Close out kitchen/lunch areas daily and restock as needed.
  • Provide administrative support, as needed.
  • Promote the company safety culture and safety awareness throughout the company, projects, or office.
  • Exercise initiative or, as directed, perform additional duties to meet the needs of the organization.


Qualifications

  • Proven work experience as a Receptionist, Front Office Representative, or similar role
  • Positive, self-motivated professional with good communication and interpersonal skills
  • Ability to perform work accurately and completely, and in a timely manner
  • Solid communication skills, verbal and written
  • Ability to understand and implement best practice standards
  • Ability to multitask while delivering quality through attention to detail
  • Excellent organizational skills
  • Ability to adapt to change and stress in the work environment and manage competing demands while maintaining high performance levels
  • Ability to be proactive and resourceful when issues arise
  • Ability to follow-up on inquiries in a timely manner
  • Ability to prioritize multiple projects
  • Proficiency in MS Office Suite, specifically Word, Excel, and Outlook
  • Ability to build relationships with team members and clients
  • Ability to learn and use a variety of company-related software, tools and systems necessary to meet business needs


Education

  • High School Diploma or General Education Degree (GED), or equivalent experience


Experience

  • Six months or more of related work experience required.


Physical Demands and Working Environment

  • Must be able to lift up to 25 pounds
  • Normal office environment
  • Frequent activity: sitting, viewing, and typing on computer screen
  • Occasional activity: standing, walking, bending, reaching above shoulder
