POSITION OVERVIEW:
The Business Manager plays a key role in overseeing project setup, financial tracking, and client billing processes. This position is responsible for managing subcontractor documentation, ensuring accurate and timely invoicing, and maintaining compliance with contract terms. The Business Manager collaborates closely with project teams, clients, and internal departments to resolve billing issues, monitor project earnings, and support overall operational efficiency. Additionally, this role acts as a liaison for shared services such as safety, HR, and claims, while providing critical administrative and accounting support to the division.
KEY RESPONSIBILITIES:
- Build and complete project setups including, but not limited to: review and management of quotes and estimates in Sales Force, set up of project work break down structure, billing terms, rate tables, and budgets, processing contracts, change orders, ordering insurance, preliminary notices, other required forms, and creation of physical and digital files
- Approve new clients/accounts in SalesForce
- Coordinate with sub-consultants to receive invoices and backup in a timely manner
- Recommend monthly accruals to corporate controller as necessary to properly account for direct costs incurred during the period for which we did not receive timely subconsultant invoices
- Enter costs for sub-consultant charges in accounts payable, and coordinate with divisional president and corporate controller to approve timing of payment for subconsultant invoices
- Ensure that clients receive invoices and make payments in compliance with the established billing timeline and contract terms, including all required backup, exhibits, and supporting documentation (e.g., Certified payroll)
- Work with clients’ Project Accountants and Project Managers to resolve billing and collection issues
- Create project earnings and detail reports and submit them within the assigned deadlines
- Develop relationships with clients to ensure their experience with RMA is positive and helpful
- Take responsibility for processing subcontractor contracts, change orders, and invoices while helping subcontractors maintain compliance with company policies
- Issue preliminary lien notices, DAS 140, and other initial job setup documents
- Send statements and contact clients to address past-due invoices at a minimum monthly
- Prepare and distribute weekly TCP reports for division
- Sign conditional waivers and releases for payment
- Act as local liaison with shared service staff and communicate as needed to assist with safety, human resources, claims management, and other functions to provide a local resource to the division
- Complete additional accounting and administrative duties as needed
