We are looking for a dedicated Client Support Specialist to enhance the efficiency of our Financial Advisors' investment practices while providing exceptional service to our clients. In this role, you will work closely with Registered Representatives to manage client paperwork, facilitate financial transactions, nurture client relationships, and communicate effectively with clients and financial institutions. Responsibilities :

  • Serve as a vital link between registered representatives and their clients.
  • Manage phone communications, appointment scheduling, and preparation of materials for client meetings.
  • Assist registered representatives with client presentations by preparing illustrations, reports, and visual aids.
  • Handle client documentation and follow-up activities to support registered representatives.
  • Engage with clients through phone calls, virtual meetings, and in-person sessions to meet their service needs.
  • Plan and coordinate client events and related follow-up activities.
  • Maintain comprehensive client records in compliance with corporate standards.
  • Proactively reach out to clients and registered representatives about important deadlines, such as RMDs and quarterly / annual reviews.
  • Take ownership of client inquiries, collaborating with internal departments to ensure timely responses.
  • Guide clients on available account services, features, and emerging technologies.
  • Participate in corporate training on new technologies and follow their implementation guidelines diligently.
  • Ensure adherence to compliance protocols, documenting client communications accurately in systems like AdviceWorks / SmartWorks and Redtail.
  • Collaborate with Advisors during weekly meetings to enhance their business planning, marketing strategies, and client communication efforts.

Qualifications :

  • High School Diploma or GED is required.
  • Experience in an administrative or customer service position is essential.
  • Strong time management skills are critical for this role.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and a willingness to learn new software.
  • Preferred Qualifications :

  • Prior experience supporting Registered Representatives or Financial Advisors is a plus.
  • Background in financial services or banking is advantageous.
  • Bachelor's degree in Finance, Business, Marketing, or Communications is preferred.
  • Detail-oriented, organized, and capable of multitasking in a fast-paced environment.
  • Able to prioritize work effectively and respond to unexpected requests from Advisors.
  • Self-motivated and productive, with an ability to work both collaboratively and independently.
  • Exhibit a professional demeanor, with a friendly manner both in-person and over the phone.
  • Trustworthy and discreet when handling confidential information.
  • Ability to listen attentively and retain critical details.
