Mid-size law firm looking for an Assistant Office Manager who can provide high-level
administrative support.
Candidate will report directly to the office manager while also working along with managing partners to provide administrative reporting as needed.
Candidate should have strong communication skills, have experience in a similar size
law or professional services firm, be able to take and follow direction and work at fast
pace.
Ideal candidate will be calm under pressure. Must be confident and respectful in
working with both peers and partners. Hybrid work environment in mid-town NYC.
Expected in-office 3 days a week.
Responsibilities will include, but not limited to:
• Assist office manager and team with monthly billing which would include posting client expenses in Timeslips and Quickbooks, and preparing client bills that are submitted using LEDES1998
• Assist with handling accounts payable, accounts receivable and collections, which would include bank deposits, general banking functions, and client trust funds
• Communicate clearly with vendors regarding invoices and be knowledgeable regarding account status
• Process expense reimbursements
• Support the onboarding, training and development of new employees
• Assist with coordination of human resources and benefits administration
• File and document management using FileVine
Ideal candidates possess:
• Ability to handle confidential information with a high level of discretion
• Excellent written and oral communication skills in English, accurate data-entry
skills required
• Thoroughness and attention to detail and accuracy
• Must be highly organized, able to work independently, able to handle multiple projects at once and have a strong work ethic.
• Proficiency in QuickBooks, Microsoft Outlook, Word and Excel.
• Experience with Timeslips and/or other legal billing software is helpful
• Experience in Benefits or HR a plus
• 3-5 years of law firm administration experience
• Well-developed and professional interpersonal skills and a positive attitude.
• Ability to work well with peers, associates and partners
